Bulk share views

Hello, i noticed with the latest Dynamics 365 update, 2022 wave 2 release,  you can no longer share bulk views to one user, or select the security level or view security access to a number of users when sharing a view, is that right? Is there a way to share views using the previous method, or a way where it can be done in bulk?

Alternatively, is there a way to reverse the update of the latest release made to the system?

I have the same question (0)

    Hi Kathryn

You can still bulk share personal views using a tool in the XRM Toolbox.

The tool is called Personal Artefact Manager. This will allow a system admin to access personal views, charts and dashboards and share then with other users.

Having said that however. I would not recommend sharing personal views to individual users but rather to a team of users.

There is a great article on why it's not recommended to share things to individuals.

Ultimately there are performance and administration issues with sharing personal views to individuals but if you must then download that tool in the XRM Toolbox.

Thanks for the quick response Mike!

We had teams created but we found we were having issues with users appointments in outlook ending up on other users calendars and vice-versa. I work for a small company and am sharing views for the purpose of department based performance dashboards. We wouldn't have more than 15 users having access to read the same view at one time.

I read the article and understand the issues involved in bulk sharing; Do you think15 users would cause an issue?

Ideally, we'd resolve the issue of the outlook appointments and create teams instead. Just haven't addressed that problem yet.

15 users probably won't be a issue from a performance perspective. Maybe assign ownership of the views you are sharing to one account and use that account to share to other users. That would help from a administration perspective.
