Hi,

We are in the process of trying to reduce our DB capacity as its currently showing as only 13% left.

I have asked Microsoft to analyse the activitypointerbase table as this is taking up the vast majority of space.

As expected, emails are taking up the vast majority of space, but IncidentResolution and OpportunityClose are taking up a sizeable amount of space too.

I know what IncidentResolutuon and OpportunityClose records are, but has anyone had any experience in bulk deleting these particular records? And if so, what are the consequences of deleting them? how will that affect Case and Opportunity records?

    Hi Ted,

    The storage for entities can be estimated as similar to that for SQL Server for any entities and fields that you add, with the addition of ~150 bytes per record for system fields (createdby, modifiedon) etc.

    If you want to do the calculations in detail, assume that decimal types have scale = 38, and date time is stored as the SQL datetime datatype. Also, currency fields and rollup fields have additional system fields auto created (though they show up in the UI).

    In overall use, one of the things that can have a big effect on storage is Activities. If a lot are created, then this can add up. For each activity there are significantly more system fields than other entity types; I'd reckon on 1KB overhead per activity record.

    Here is an example that you can also follow: 

    1. Table A with probably 16 custom columns and 8279 records is 11.84 MB

    2. Table B with probably 36 custom columns and 6792 records is 8.84 MB

    3. Account Table with 7482 records is 13.79 MB

    Hi Sayen,

    Thanks for your reply, good to know. Do you know how much space a single Case Resolution or Opportunity Close record takes up? I'm guessing they are very small so deleting thousands of them probably wont make that much difference to our Storage.

    Hi partner,

    Case Resolution (IncidentResolution) entity contains special type of activity that includes description of the resolution, billing status, and the duration of the case.

    Opportunity Close entity is created automatically when an opportunity is closed, containing information such as the description of the closing and actual revenue.

    We can create a bulk delete job to delete them. Here is a reference link: Free up storage space - Power Platform | Microsoft Learn

    This will not affect Case and Opportunity records unless you want to stay Case Resolution and Opportunity Close entity.
