Outstanding Invoices SmartList

Hello,

I would like to see a smart list in the sales module that shows all outstanding invoices.

How do I set this up?

Is this the same as the Receivables Transactions smartlist that is already loaded in the Sales Module?

Outstanding invoices in Receivable management can be reached through Sales > Receivable Transactions. While You can look for SOP open transactions on the Sales > Sales Transaction smartlist.

For receivable transactions;  Go to "Receivable Transactions" Smart List, Add both columns; "Current Transaction Amount" and "Document Amount".

    Now, consider the following scenarios;

    1. Current Transaction Amount = 0, Fully applied transaction
    2. Current Transaction Amount <> Document Amount and Current Transaction Amount > 0, Partially applied transaction
    3. Current Transaction = Document Amount, Transaction with no payment applied to it

Receivable transactions Smart List can be found below:

Dynamics GP > Smart Lists > Sales > Receivable Transactions

The difficulty with what you are looking for is that the payment information comes from Receivables.  The Sales module posts to Receivables rather than the other way around.

You can see any payments that were receipted as part of the Sales Transaction Entry - but not ones that are applied from Cash Receipt Entry.

A work around without any form of "programming" would be to do a list from Receivables that restricts to the documents that come from SOP.  In my data, I would be able to do that by restricting on Document Number sequence.  The issue with this is that you probably won't be able to get the same detail about the document as you can in the Sales Transactions.

Alternative options, that will require a bit of data query knowledge:

    - If on GP2013 SP1 or later - you may be able to use the new SmartList Designer to create the links between SOP and AR that you need to show current transaction amount.

    - If you have SmartList Builder, the same again.

    - If neither of these are an option, you could create a view in the database of the information you are after and then use a refreshable data query into Excel to report the details.

The technical linking of the tables you would need I don't have available without doing the work on it myself - others may have done that already and can give you some details.

    Hope this helps.

    Cheers

    Heather
