Update multiple records by import and Export to Excel

Hi There,

I have gone through various threads for updating multiple records using export and import feature of dynamics but I have not found one solution that works for me till now.

I have created a view for filtering account entries that i am interested to update. I am exporting data of the view into Excel. I have tried exporting data as "Static Worksheet" and "Dynamics Workssheet". When I amend exported excel file and re-import to update all those records, I always get a parital failure error with no reocrds updated and duplicate record found message.

I am not sure what is that I am missing? or am I doing something wrong? or can we really update dynamics entries using export and import feature of Dyanmics?

It willbe hugely appreceited if someone experiences can shed some light  on it for me please. I am very new to dynamics there is highly likely I might be forgetting something but not sure what and where if there is any?

    Hi,

    If you want to modify the same field of all the account records you can perform batch edit in CRM. Select all the records and click on edit.

    If that is not the scenario, then please make sure of the following:

    1. when you export the file in excel, system will add three columns at the beginning, make sure not to remove them before import.

    2.during import select update existing option.

    3. Also to avoid any duplicates in CRM create duplicate detection rule in CRM.

    4. The modification you are making for any field, make sure that the selected value is present in CRM, for example if you are making changes for a lookup filed and updating any value in excel file, make sure the value is a member of the lookup not a new value which does not present in CRM.

    Hi Divyesh,

    I find the easiest way is to use the Advanced Find function. Within Dynamics CE (CRM) click on the cog at the top right, which will bring you to the creation of your view. Select the fields your are wanting and click on results. Export to Excel and make your changes. 

    Go back into Advanced Finds and click on 'File', then on 'tools', and then on 'import data'. From here you can even set fields that need to be mapped, but if you have created the view from CRM it should be automatically mapped. 

    You will also see all failures, and the reason for failure (if applicable)

    Hi, long time, but.... I read it now.

    If you need to change existing records, from the view you want (All columns added) export to excel.

    Open excel. I'm thinking 2 scenaries:

    - Edit existing row, column you want. Possible that column you have changed is a relation column from this entity to relation entity with 1 to 1 relationship.

    I- Creating new records, perhaps you are copying and pasting existing rows. If you do this, view that 3 firsts columns of the new records are empty.

    Save excel

    Import excel from view you exported.
