Multiple Users creating deposits on same CheckbookID. GP Limitation / Issue?

Hi all,

We are facing a GP limitation to let only one deposit per CheckbookID created at a particular time.

GP does not allow a manual creation of a new deposit, for as long as there is one deposit opened, and only one user can work in a certain deposit at a time.

This results in a bottleneck for us. We have a team of people posting cash receipts and entering a big backlog of historical transactions.

We need the ability for each of the member of this project to be able to work on their on deposit entry (based on the same Checkbook IDs).

    Nothing else I can suggest I am afraid.

    Just as a bit of further explanation - there are areas in the system where only one person can access at a time - and they are all relatively similar in the reason.

    - Creating a deposit to a chequebook - more than one person can be in the screen - if they are using different chequebooks

    - Creating a receipt for a customer and applying it - I don't think two people could be applying for the same customer at the same time

    - Creating a payment batch

    - Doing the bank reconciliation

    All of these processes are using the same set of data for a specific process - you can't have two people accessing it at the same time.  Let's take your example:

    - When you select the chequebook ID, it loads the list of transactions.

    - This is not refreshed unless you ask it to be.

    - So what happens if two people tick the same transaction in their deposit?

    It opens up the system to corruption of data.  So I don't believe you will get any change made in this area - it is not intended to have more than one person in the screen at a time.

    Thanks for your answer.

    I was also thinking in having multiple checkbookids per each bank account and assign one per each user, but I also have the problem that most of those cash receipt batches were already posted (which I think makes impossible changing checkbookId, or batch names as you suggested)

    I reported the issue to my GP partner and ask them to report it to M$. But i do not have a lot of hope in them. Hopefully somebody like you will have a workaround that I can apply.

    Definitely a limitation that cannot be changed I am afraid.

    The only other option you would have would be to activate Analytical Accounting and utilise the feature to post direct to bank reconciliation.  This however means each individual receipt posts into the bank reconciliation which doesn't necessarily make it easy to complete the reconciliation.  You could however look to group the transactions of a batch together by overwriting the payment number with say batch ID and sequential number.

    That's my only thought on a work around.
