When a lead is qualified or disqualified, search is not possible anymore

Posted on by Microsoft Employee

When we create a lead and it is still 'new' then with quick search (both in lead screen as the global search) you can find the lead, based on the quick search fields. Whenever the lead is qualified or disqualified it is not possible anymore. Quite strange as especially in the situation that a lead is disqualified, in some future situation it might be the case that the person is requesting again or is switched to another company and is being a lead again. Is this a known limitation or is there any setup which causes this (or a workaround to determine search on leads)

    Hi Team,

Yehey I can search the closed records now on Dynamics may it be closed lead or opportunity.

    Settings> Customization> Customize the Systems> Entity

Example : Lead Entity > Views > Quick Find All Leads View > The view popup box will appear > Edit Filter Criteria > Add Status equals open, disqualified & qualified > Highlight the 3 rows and select group OR. > Save and Close > Publish All Customization.

Hope this works for everyone! :)

That is a nice suggestion. Still when inside sales people do have contact with potential customers the expect to have a 'quick search' in the system for checking the records before creating a lead, opportunity or even a quote.

thanks anyway. I really appreciate your comments to have a mind shift over here.

I just meant that if your Quick Find is full of deactivated Leads, it becomes progressively harder to have sales and marketing people work on just the items they care about.  If you think about it, your open Lead pipeline should stay roughly the same per user.  But closed leads should grow progressively as you use the system.  So very quickly the number of closed leads will eclipse the number of open ones.  Not only does that make it harder to find what a person actually cares about, but it makes the search itself actually slower.

Maybe show people how to do an Advanced Find if they care about including Deactivated Leads as an alternative.

Hi Wayne, this is really helpful. We do no tend to re-open leads but do want to have the ability to view them with the search function.

What do you mean with the "potentially trading off everyday usability for cases when you want to reactivate a Lead. " in more specific cases?

You just need to update the Quick Search filter to not exclude deactivated records.  Just be aware that you're potentially trading off everyday usability for cases when you want to reactivate a Lead.

Settings -> Customization -> Customize the System -> Entities -> Lead View -> Quick View

will get you there. Just publish the change once you're done and you will search both active and deactivate Leads.

Also, if you don't already have the Status listed on the View, add it so people can know quickly what's active and what's not when they do quick searches.
