New to Dynamics 365

I work for a small Aviation company and we recently moved from SalesForce to Dynamics 365 and I get learn the admin roll in all this. Our users are setup, I have uploaded 4,000 contacts and accounts to D365 and customized the contacts and accounts screens and it all seems to be working fine.

1. I do have a couple questions, On the main screen that shows under Customers, Accounts and Contacts, where do I go to edit this screen ?

2. Is it possible to setup and  an account like contacts and call it Aircraft to the main screen maybe under Accounts and contacts and then I would want

to upload customer owned aircraft. We are talking 3,000 aircraft. Something like when I uploaded the contacts into D365 but this would be for aircraft.

    Thanks again for the great help you provided it really gave me a jump start into this project

    1. I thought it was working as it should but I'm the only one that can see the Aircraft link that I setup to show just below the contacts link. I published everything but I'm the only one that can see the link.

    2. If I select a record from Accounts or Contacts I get an option to add it to a Marketing list in the options at the top of the page, when I go to my Aircraft and select a record I do get the option to add it to a marketing list.

    how can I add that option so if I want to send some of the aircraft operators sales material from the marketing list I can.

    Great help, I followed your instructions and all worked, I now have my new aircraft data imported and all looks good. Thank you

    Hi,

    Thank you for your query.

    Let me clarify how you can setup Dynamics 365 for your needs:

    • I assume you are using Account Entity to manage your customer.
    • Your customers own aircrafts that you need to store along with Customer data. For this you are planning to use contact entity. However, this is not a great idea. Let me rephrase purpose of both entities:
      • Account : represents a business (Company).
      • Contact: it represents an individual you do business with, an employee of your business or an individual you interact with.
    • Because Account and Contact represent Businesses or Individuals, they are not suitable to list assets or products they own.

    As per my assumption, properties (data) of an Aircraft is quite different from an Account and Contact. Hence it is best to create a custom entity called Aircrafts (don't worry, we can show this in the navigation).

    Here is the data model I suggest:

    • Create an entity called Aircraft: it should have properties like Aircraft Model, Make, Type, No. of Engines, etc.

    • Create an N:N (many to many) relationship between Accounts and Aircraft.

    Then add the Aircraft entity to the sitemap, you can also see this in the Related section of an Account (after creating the relationship):

    You can find dozens of tutorials on YouTube on creating entities, relationships and customizing Site Map, you do not need to code for it.

    When you create the entity it will give you the checkbox option on under which section you will make it visible like sales, service etc. If you want to add it in any model driven app then just open the app in app designer and edit the sitemap then add the entity there.

    After creating the entity you can upload records using import functionality

    If I make a new entity and call it aircraft how do I get it to show up on the main D365 screen like contacts and accounts that are under customers. Would I be able to upload aircraft information to the new aircraft entity I made. Like when you upload contacts.

    Hi,

    yes, you can create new entity and call it as aircraft, also you can rename any existing entity as well. Account, contact these are called entity in CRM

    1. I'm not looking to change the name of the account or contact. I want to know if I can make another new account like contacts but call it Aircraft

    2. if an account like contacts can be made but called Aircraft then I would want to upload the aircraft information into it.

    Hello,

    - Main screen means you want to change the record form I believe, to modify any form please navigate to advanced setting--> customization --> customize the system--> expand entities --> select the entity--> expand it --> click on form--> open main form and edit it.

    2. Is it possible to setup and  an account like contacts and call it Aircraft to the main screen maybe under Accounts and contacts and then I would want

    - I believe you are looking to change the name of the account or contact entity, if that is the requirement then you can follow the steps as setting--> customization --> customize the system--> expand entities --> select the entity--> entity configuration page will show up --> change the display name

    3. to upload customer owned aircraft. We are talking 3,000 aircraft. Something like when I uploaded the contacts into D365 but this would be for aircraft. 

    - I am not sure if I understand this question but if you are looking to upload records into CRM you can import them using Excel or CSV file. (If I misunderstood the question please elaborate the same further )
