How to export all activities, emails, notes, opportunities from Dynamics 365

Posted on by 5

Hi, We need to export not just contacts, accounts, and opportunities, but all the details attached to them. For example, if an account has opportunities attached, I would need that to show as well and also be able to drill into the opportunities to see the correspondences, activities, etc.

Is there a simple way to do this? I basically want any and all information for each of these objects/entities.

Thank you,

Rachel

    Hi,

The attached means activities and notes.

Just like opportunity, activities and notes both are N:1 relationship with Account entity.

So you can view Account type in the activities and notes view.

Thanks Leah. I see I can export it to excel and select Account from the opportunity as you state above. Do you know if it is possible to export data to see everything that is attached? Or are you stating from the first part of your response that isn't possible?

    Hi Rachel,

In the view, you can add fields from current entity and related entities, but related entity type just show parent entity, which means you can't add fields from child records to current entity view.

In your scenario, opportunity, contacts and activities are all child records for Account.

So you can't view them in the account view, you only can view parent entity for Account.

However, you can view Account type in the view of opportunity, contacts and activities.

I'm going to try the above and see if it attaches that info.  Is there a specific format to export in?

HI Ossama, thank you for your response. But, can you get the full details? I was able to run an activity report and I can click into the topic that goes directly into the activity on screen but when I export I only get the topic name and not the actual correspondence,

    Hi,

If you mean to export this information from Excel sheet, so you need to update your view

For example: go to Advanced Find

    2541.pastedimage1626906619608v1.png

Choose Edit columns, then choose Add columns:

    8345.pastedimage1626906682679v2.png

And here you can choose now the record type:

    4061.pastedimage1626906723541v3.png

change your record type to any related entity, then choose the column you need

at the end you will get all related data in one view, you can also apply this steps to your system views.
