Is is possible to have a negative value in an items unit cost?

Posted on by 165

Hello,

We're looking to move to Business Central and are currently in the testing faze to make sure it has everything we need.

One thing that we would like to have are items with negative unit cost prices however, whenever we enter a negative value we get the message "Validation results. The value must be greater or equal to 0."

Is it possible at all to amend this and allow negative values?

Many thanks.

    Hello,

If you are recording actual commission, base BC will process a commission ledger entry if the salesperson is noted on the Sales Order/Invoice and a % is setup against the Salesperson. Now if you are trying to capture this hardware fund, the way you wrote it, I would setup a Non-Inventory Item to record a negative dollar amount.

    Hope this helps.

    Thanks,

    Thanks guys.

I have been advised it's for working out commission for the sales guys and to apply hardware funds to customers.

For example if we make a sale and a customer gets a hardware fund from us, we want to be able to add this to the invoice as a negative value e.g. the invoice would be for item A which costs £500 but the customer has a hardware fund on their account of £100 so then we would need to add that to the invoice as -£100.

Is there any other way of getting this to work? What's the best way of working out a commission from a sale?

    Many thanks

    Hello,

Adding to all replies... As Tom noted this is a challenge. I am a former Accountant and would ask that you talk to your boss to understand why the request. It is not prudent and best practice from an accounting perspective. Normally, companies do not want Items to run negative at all, which cause Valuation issues. To prevent running negative BC has a setup that you can set on the Inventory Setup (see below).

Hope this helps and you can find out why.

    Thanks,

    Hello

Thank you for posting.  The challenge here is that Inventory is a Balance Sheet - Asset Account to store the cost of purchased or produced inventory value. The value/cost of an Inventory Item is considered to be a Debit amount by its very nature. To prevent incorrect posting, validations are made to make sure that the value is positive and a cost added to the inventory asset account. This is standard code validation that would have to be customized through Extension or direct development in On-Premise Business Central Version 14/13 or NAV Version 2018 or earlier. From an accounting perspective, it does not make sense to have a negative inventory value/cost on an item.

    Thank you again for posting.

    Best Regards

    Tom

what is the business case for this.

I guess MinValue property was set to 0 for Unit Cost field so that reason for error.
