Unable to generate an asset ID

Good morning everyone,

I have a little struggle with GP and importing assets.

I have 129 assets with ID 1 to 129 (to make things easy during tests).

GP imported the 99 first assets without any problem. But when trying to import the 100th, it pop that "Unable to generate an asset ID" message and this stops the import macro with an error. Any idea why?

I made the test and when I'm in "Cards > Fixed assets > General", if I try to select the first field "Class ID", it opens the subwindow with all my available "Class ID" and when I select one, it pop that message of "Unable to generate an asset ID". I don't see how selecting "Class ID" is related to the "Asset ID". Unfortunately, it worked for the 99 first assets but not for the others. I even tried to create the 100th asset manually but nop. Error still here and annoying me.

If anyone knows why, I would appreciate it :) For now, I'll try to clear all the assets and see if the problem is still here without any assets in the system.

Thanks everyone, appreciate really much the time you take to read and reply. ♥

Florence

RE: Unable to generate an asset ID

    Hello again,

We managed to find the problem.

1- For the problem of importation, I have no idea why it didn't wanted to import 100 and all the higher numbers. But as RogerRogerATX said, it's stored as STRING in the SQL database so it could explain, maybe, why GP is bad at dealing with this.

The best format for GP is a kind of FA00001, FA00002, etc. It seems, after doing many tests, that's it's the easiest way for GP to deal with a STRING. So as RogerRoger, I would also recommend this to people trying to setup "Auto incrementing numbers" in GP.

2- Why I had a value of "98" all the time instead of the number I setup under "Financial-->Setup-->Fixed Assets-->Company"? Because the field "Next Asset ID" also exist under "Financial-->Setup-->Fixed Assets-->Class". You can set a different one for every class if you want. And indeed, the "Next Asset ID" setup in "Class" has priority over the "Next Asset ID" setup in "Company". So if you don't need a custom "Asset ID" for every class, just make sure to uncheck the "Auto generate next asset ID" for every class. So all the classes will share the same "Next Asset ID", the one setup under "Company".

Good luck all! Thanks for those who helped.

    Regards,

    Florence

Yep I realized this fact about the

    1

    11

    12

    ...

I explained my boss about that and how GP was dealing with the Asset ID considering it's a STRING and not an INTEGER of any kind. And I told him that the best way to deal with this would be to use the same format as you've just suggested. I'll tell him again that other experienced GP users would recommend just the same. Maybe he'll say yes eh eh. But I was doing test just to show him we wouldn't really have the choice.

I'm going to test some more see if I can make it works with, for example, FA00001, FA00002, etc. I'll let you know if it worked. So far, it doesn't seem like it wants to collaborate with me. =(

I've heard (most of our companies have manual Asset ID for other reasons) that if you set the asset ID with preceding zeros it will work.  so instead of 1, enter 000001 or 00001.

This also helps with sorting because it will left justify that field when sorting; without the preceding zeros your list on screen would look like:

    1

    11

    12

    13

    2

    3

    etc

    Eh RogerRoger,

Yeah we realized it was a string and that it would be a problem. But this software is even worse than I expected. =(

I was about to ask how exactly was working the "Auto generate Next Asset ID" feature?

I tried to enter all kind of values in this field (the "Next Asset ID" one). And no matter what is entered, when I go in "Financial-->Cards-->Fixed Assets-->General", I pick a Class ID and when GP gets focus in the Asset ID, it always automatically enter "98". Nothing else.

Did I missed something or is this feature completely broken and useless? =(

We really are trying to make GP auto increment the fixed assets numbers because we don't want the user to set it manually. It's always a terrible idea to do that. But we cannot find a way to make GP doing it for us and we thought that "Next asset ID" (with checked option "Auto generate next asset ID") was the solution for us but it's just not working.

If you could give us some hint about how it works or how we could make it works, we would be thankful.

    Regards,

    Florence

It's been my experience that GP2013 doesn't know how to count with a field that is actually alphanumeric.   What value is in the field "Next Asset ID" under Financial-->Setup-->Fixed Assets-->Company

Just made the test, with no assets in the system, it works. No error message.

Bad boy GP, bad boy! :(
