Storage exceeded: Files

Hi

We recently got a storage exceeding mail, now I've been deleting and bulk deleting thousands of records but it appears to have near to no influence on the capacity.
For example I've cleaned records (systemjobs) that should lower the AsyncOperation(Base) tables. As these tables were high too.
The AsyncOperationBase under Data has lowered by half but the AsyncOperation under File remains as high as it was. The biggest storage issue is on the Files section of our environment.

Another table that is capturing a lot of data is the Attachments section, I've already deleted all attached emails with large attachments but this also has very little impact.
What else is there being stored as 'attachment'? We don't use notes with an attachment.
I'd seen the earler mentioned SystemJobs on the AsyncOperations now being present under File storage but it didn't seem to affect it whatsoever.

I've ran through all kinds of support topics and microsoft documentation on the types of records stored in the different sections, but none seemed to help me get done what I needed. So hopefully there is anyone else that can shine a light.

I have the same question (0)

    Hi Vds_Katrien,

Storage capacity does not refresh immediately. It will take 12 to 24 hours to refresh.

You can check the storage taken by each note through one of its columns. You can verify the storage from there also.

You can download the detail of which table is taking how much capacity in excel. It will help you in deletion also.

The one thing you can do also instead of using notes for attachments. Use SharePoint. SharePoint is cheap and everyone is using it because of its cheapness.

If I answer your question then please mark it as verified.

Let me know if I can provide you with more details.

    Thanks

    Hi Abdul Wahab,

I did the cleaning yesterday so it's only today that I noticed all the cleaning I did yesterday had almost no impact.

We already are using sharepoint for attachments, so I don't see where all the 'attachments' are suddenly coming from. We don't use notes. I will see if the download makes me any wiser.

Note: the download didn't get me any wiser. I'm only able to download the 'database' section not the part that says file use where we're having the most exceeding storage.

    Hi Vds_Katrien,

Just use Advanced find to see results on the notes table. It will verify whether it is because of notes or not. Do not forget to include the File Size (Bytes) column.

    Hi Abdul Wahab

I already have done that yesterday and my search came up empty. Which makes sense since for as far as I know the users barely use notes. I did the same action for Emails and there I cleaned up all the emails with large attachments. It helped a little but not enough. So there is something eating our file capacity.

Same with the AsyncOperations, which is also extremely high. When looking it up I came across the same 'cleaning' answers for the AsyncOperations as the AsyncOperationsBase yet it ony appears to have cleaned the AsyncOperationsBase table and not the AsyncOperations under File storage.

    Hi Vds_Katrien,

Use Fetch XML Builder from XRM Tool Box. Run the query on the attachments and asynchronous operation tables. It will help you more:
