Payables Transactions moved to history with no payment applied

Posted on by Microsoft Employee

Hello,

I am running into an issue were a handful of payables transactions are in history that do not have any applied payments attached to them. I ran checklinks and reconcile with no luck. These transactions are showing up on the Historical aged trial balance. I also checked the PM30200 table and the current transaction amount is Zero. This appears to be corrupt data, these document are all around the same time frame. Any recommendation on how to remove them from the HATB?

Thanks!

    Hi Bhakti,

I ended up having to update the transactions via sql. I updated the voided column to 1.Reran the HATB and these transaction no longer displayed on the report. The customer had to rekey in the transactions they needed.

    Hope this helps!

Look over the dates for the transactions - when I see stuff that just shows up on the HATB I have to look at the dates - just wondering if they are all in line.

    Hi Bill and Mahmoud,

Thank you both for responding! This is a strange one!

    * These documents are not voided

*PM30200 doc amount shows the correct  amount but current transaction amount displays 0.

*PM30300 no apply history shows for these transactions

*PM10200,10300 and 10400, 20000 displays nothing for these transactions

I am not sure the best route to correct these? There from last year and showing up on there HATB report.

    Thanks!

It is a frequent case to have fully applied document stuck in the open file, but I have never seen an unapplied document which doesn't have any corresponding applied transaction being moved to the history tables.

Payable transaction move to history when they are fully applied or when it is "voided". Therefore, I would mostly tend to check the void status as Bill Campbell suggests above.

    Your feedback is highly appreciated,

ShellyAnn are these voided transactions or are they transactions that should not be there at all?

If they are voided then you will only need to make sure in the report selection that you are excluding voided transactions and that should take care of them.

If that is not the case, then if you were to look at the PM30200 table, what is the orginal amount vs the current amount - you say there is nothing applied?  You might want to look at the PM tables for the apply work open as well as the applied history - sorry forgot the table IDs right now - I will get back more details when you have a chance to look at a couple of these issues first.
