change chart of accounts

can 4 accounts be merged into one account using PSTL?  Can it be done all at one time or would you have to do them individually.  We planned on using a file that gives the old account in one column and the new in another.  What happens if the new account number is the same for all 4 accounts?

    Don't forget to consider the "Validate" function as you proceed to have your accounts changed with the PSTL, it will be much more like a QA phase that you are on the right track.

    Absolutely - It works in much the same manner.  You will need to change your Account Format prior to running the PSTL tools to ensure it is prepared for the new longer account structure.

    Tools > Setup > Company > Account Format

    One more question.  Can they change from a 3 segment account number GL to a 4 segment GL?

    Hi Rachel!

    I would have to agree with the information that RedBeard and Mahmoud provide. As with any type of modifications I do highly recommend testing everything in a test environment so you are able to verify the results prior to running in a Live database. Once the testing is complete I also recommend creating a backup of the live company before proceeding with the Account combining.

    Rachel,

    Yes, you can merge 4 accounts into one account simultaneously.  You want to use the Import option in Account Modifier/Combiner.  You click the radio button for Import, then click on Validate, which will allow you to browse to a tab-delimited text file with two columns, no headers.  Column 1 = Current Number and Column 2 = Target Number.  

    If you want to combine 4 accounts, you need four lines with different Current Numbers the same Target Number.  There is also a step at the end of the process, which explicitly asks if you are combining accounts.  You need to say yes to this.  I typically separate Modifications and Combinations into two separate files.  

    Make sure you have a backup of your database prior to doing this, and it is always best to run this in a test environment before doing it in live so you can reconcile to ensure the changes will have the desired effect.   Finally, after you run this tool, you will be reminded to run financial reconciliation.  If you do not maintain detail history, financial reconciliation will zero your balances.
