Preventing Email from being sent by Deactivating Mailbox

Hi all, 

Grateful if someone can help me.

I have a scenario where i have to prevent mails being sent by a mailbox.

Lets say I have a process and there is a step to send workflow, the sender is a user in crm with xyx@somemail.com.

What I want is to prevent the sender to send mail...I have tried the following:

- to Deactivate the mailbox in CRM but still mails are being sent.

-Reject Email, mails are not sent, but when am approving the email and enabling the mailbox again the pending mails are being sent

Is there a way to prevent the pending mails from being sent?

The process cannot being deactivated because there are other steps included into it which are important, and the email step also cannot be deleted as it be an issue for maintaining, as needs to delete and recreate the step again.

Any idea/guide would be greatly appreciated.

    Hi Vinay

    I have had to do something similar, and I created a real-time workflow that triggers on Status Change (Before)

    In the workflow check if the email is xyz@somemail.com and if so use the Stop Workflow step and set it to cancel.

    I know deactivating mailbox or rejecting email may not be useful if the email has already been submitted for delivery.

    One thing to note, you have to do this using a real-time workflow and On Before Status change, otherwise, Server Side Sync will start parallelly and send the email.

    1.You can add a condition in your workflow, If username is xyx@somemail.com then do not send email.

    2.Delete all pending email.

    Hi Vinay ,

    When you have Activated/deactivated the mailbox

    You will have to find the pending email activities by advanced find  where the user is the sender  and delete those Email activities

    Can you just add to your workflow stating that if from = xyz@somemail.com just end the workflow?   We do it all the time so seems easier than what appears above.
