How to update multiple accounts information

Hi expert,

I have multiple accounts without Primary Contact or with outdated contact and email. I have got excel with updated information. Is there any ways you suggest to do this? I use import data wizard, but it failed because "a duplicate of current record already exists".

Also, Can I update the Primary Contact which does not exist in Contacts? Any way in CRM to solve this problem?

    Easy way is export existing accounts to excel from CRM with re-import option and use CRM import feature.

    First download account excel from CRM and do vlookup based on some unique fields from your existing account excel and update your source file with updated information.

    For the contact is which is not part of CRM, created another csv file and zip both and import this zip file, it should work.

    Hello Hao,

    You can update CRM data by exporting records to Excel, making your desired modifications in Excel, and then re-importing them back into CRM and update the records instead of creating new ones. This can be done in a few easy steps by exporting your data to a dynamic worksheet and doing some minor modifications of the data set before making your changes. Here are the steps:

    1.  Identify your data set. You can use a system view or create an advanced find view. Either way the view defines the record set you want to update. It is important to identify the complete set of data because these records are the only ones that will be available for updating in Excel after the data is exported.

    2.  Export to Excel Dynamic Worksheet. Click the “Export to an Excel worksheet” button from the grid of the view you created in step 1 and select the Dynamic worksheet radio button. Then select the columns you want to include with your data; only columns from the actual entity are allowed.

    3.  Prepare the worksheet. Open the worksheet and locate the right most column with data and unhide the hidden column that is to the right of the last data column. This will contain the GUID of the exported records. Move that column to the far left of the worksheet and rename it to be the name of the entity. For example, if contacts were exported, the GUID column would be originally called (contactid). Move that column to the far left and rename it to Contact.

    4.  Make your updates. Make all the changes you want to your data in the worksheet. Remember that lookups and pick list values must exactly match names of the respective lookup or pick list text in CRM or the import will fail for that record.

    5.  Save your results. The file required for importing back into CRM must be in a comma separated values format (*.csv), and this can be created by using SaveAs… in Excel and selecting .csv as the Save as type.

    6. Import your updates back into CRM. Use the Import wizard in CRM to create an import process. When you get to the “Select the Record Type and Map” dialog of the Import wizard you should see a selected checkbox titled “Enrich data by updating existing records rather than creating new records”. This indicates that things are working as expected and no new records will be created. Finish the wizard and create the import process. When the process is complete check it for errors and verify that your updates have been imported correctly.

    Hi Dinesh,

    I am stuck on Step 3. After I export excel, I didn't find any hide column. So I can't see GUID or contactid.

    In Customize Entity, Contact Field, I find contactid, the type is primary key. However, I couldn't add contactid into view, therefore can't add contactid into column and export it.

    How to solve these problem? Plus, I find that these is an option under "Static worksheet with records from this page", but My data is large over 50 pages. Is there any way to export all data at once with "contactId"?

    Hi Hao

    Export for Re-import.

    Unprotect the worksheet. (Click on Enable Editing)

    The columns A-C (at the far left) hold the hidden fields.  You can set the width of all columns in the spreadsheet to unhide them.  But you should not alter any of these fields.  And you don't really need to unhide them for any reason.

    The GUID is all you need (which can stay hidden).  Make sure you have First Name and Last Name(Surname) columns on the list view that you export, then you can ID the records you want to update and the full name will be auto-generated by CRM when you re-import e.g. if you update someone's surname.

    Yes.  Don't select the 'static worksheet with records from this page'.

    You may see an option of export all records from all pages (the versions of CRM may differ slightly in this) - if you do then select that.  If no other options present to you tick the tick in the top left hand corner to select all records and then export to reimport.

    Hi Dinesh,

    I follow your description. However, it shows errors "A record with these values already exists. A duplicate record  cannot be created. Select one or more unique values and try again."

    Below is my map fields. ContactId is generated by system.
