Update Account Descriptions

We "hard-coded" account descriptions using integration manager a couple of years ago.  I would now like to have all account descriptions build from the segments names - including those that were already hard-coded.  Is there any way to un-do the hard-coding?

    Hi Leslie,

    I'll ask Craig from our sales department to contact you. He will need your internal GP site name and number of users to raise permanent NFR keys for all GP versions you need. He can also advise on any other products you may like NFR keys for.

    If you have any customer sites that would like to try them out a 45 day demo key can be generated and the product downloaded at any time from either of our websites below (use the customer GP site name for the key).

    Sounds great Darren,

    I have a client using some of your other tools.  I hadn't been to your site in a long time, your responses on this forum have caused me to go look.     Hi Leslie,

    The demo key lasts for 45 days and works with any company so Deb could download the product and key and then perform the one time update with no obligation to buy it.

    If you would like to check it out yourself we also provide partners with permanent NFR keys.

    Hi Darren,

    This tool of your sounds really cool! GP really needs something like this. We use your SOP account selection enhancement and it works very well. If Deb only needs to do this once, they might not want to invest in a third-party product. These features are fabulous though, I need to check it out!

    We have a product available that does this for you - Advanced General Ledger. It allows you to define multiple segment descriptions for each segment and then update the full account description using them. It also provides an enhanced account lookup throughout the system so that you can select accounts by any partial or full segment or description and has core functionality to allow you to create and manage a complex chart of accounts easily. Demo keys are available for use with live compaines.

    This is a little contrived, but it will work without custom code:

    1. add another segment to your account format.

    2. go to mass modify and make a copy of your current coa with only the added segment showing a value in the account mask. BE SURE to check the box that instructs Mass Modify to build the descriptions from the segment descriptions.

    3. open smartlist and sort your account list by the extra segment you created.

    4. dump the smartlist to excel.

    5. take the accounts with the added character and line them up with the original accounts.

    6. delete the extra columns in the spreadsheet so that you have an 'old account/new account' layout

    7. run the PSTL tool and combine the original accounts with the new accounts. reconcile your years

    8. reverse the PSTL tool and convert the new account numbers into the old account numbers

    9. reconcile your years

    10. Now, to get rid of the extra segment, which should now be blank, simply reconcile the Account Format Setup window.

    11.check your account format and  run reconcile (and check links) on the accounts.

    You really are only going to do this once (hopefully). Using this method will keep you from having to have a custom written module. What do you think?

    There is nothing in the product that does this natively, I wish the Mass Modify would do it but it doesn't.  I have another customer that needs this same functionality so I am building a dex customization that will do it.  If you have interest in this please let me know and I can send it to you for free.
