Contact Filter SegmentMember with Real-Time Segments not available

Hello everyone,
To quickly make changes to certain contact records in a specific segment, we used the "Segment Member" filter in the "Contacts" tab. This worked in outbound marketing. However, real-time segments are not available. Do I need to set a different filter for this now, or is there another way I can quickly edit all records in a segment? Thanks for your help! Best, Victoria

Contact Filter SegmentMember with Real-Time Segments not available
    Hello Victoria,

You've hit upon a significant difference between Outbound Marketing and Real-Time Marketing (RTM) segments: the lack of a direct "Segment Member" filter in the standard "Contacts" view within RTM.

    The Issue:

    • Outbound Marketing: In Outbound, you could easily filter the "Contacts" view by "Segment Member" to quickly see and edit contacts belonging to a specific segment.
    • Real-Time Marketing: RTM segments are designed for journey orchestration and real-time interaction, not for direct, ad-hoc data manipulation in the same way as Outbound segments.

    •

    Solutions and Workarounds:

    1. Using a Custom View with a Related Entity (Recommended):

      • Concept: Create a custom view in the "Contacts" entity that includes a related entity representing segment membership. This requires a little more setup but provides a more persistent solution.

      • Implementation:

        1. Identify the Segment Membership Entity: RTM uses a related entity to track segment membership. You may have to look into the data model to find the correct entity.

        2. Create a Custom View:

          • Go to "Settings" -> "Customizations" -> "Customize the System."
          • Expand "Entities" -> "Contact" -> "Views."
          • Create a new view.

        3. Add Related Entity:

          • In the view editor, click "Add Related Entity."
          • Select the segment membership entity.
          • Add the relevant fields from the segment membership entity (e.g., segment name).

        4. Add Filter:

          • Add a filter to the view to show contacts where the segment membership entity's segment name equals the desired segment.

        5. Save and Publish: Save and publish your view.

        6. Use the View: Now you can use this custom view to quickly see and edit the contacts in your RTM segment.

        7.

      • Advantages:

        • Persistent view.
        • Allows for bulk editing.

      • Disadvantages:

        • Requires initial setup.
        • You have to find the correct related entity.

        •

    2. Advanced Find (Ad-Hoc):

      • Concept: Use Advanced Find to create a query that filters contacts based on their segment membership.

      • Implementation:

        1. Open Advanced Find: Navigate to Advanced Find.

        2. Select "Contacts": In the "Look for:" dropdown, select "Contacts."

        3. Add Related Entity:

          • Add a related entity for the segment membership entity.

        4. Add Filter:

          • Add a filter to show contacts where the segment membership entity's segment name equals the desired segment.

        5. View Results: View the results.

        6. Bulk Edit: Select the contacts and use the "Edit" button to bulk edit them.

      • Advantages:

        • Quick and easy for ad-hoc edits.

      • Disadvantages:

        • Not a persistent view.
        • Requires manual setup each time.

        •

    3. Export to Excel and Import (For Larger Edits):

      • Concept: Export the contacts from the segment to Excel, make your changes, and then import the updated data back into Dynamics 365.

      • Implementation:

        1. Use Advanced Find: Use Advanced Find to retrieve the contacts in the segment.

        2. Export to Excel: Export the results to Excel.

        3. Edit in Excel: Make your changes in Excel.

        4. Import to Dynamics 365: Import the updated data back into Dynamics 365.

      • Advantages:

        • Good for larger edits.

      • Disadvantages:

        • More time-consuming.
        • Requires careful data mapping.

        •

    4.

    Key Considerations:

    • Data Integrity: Be careful when bulk editing or importing data to avoid data corruption.
    • Permissions: Ensure that you have the necessary permissions to edit contact records.
    • Segment Membership Entity: Finding the correct related entity that holds the segment membership data is the most important part of this process.

    •

    Recommendation:

    • Creating a custom view with the related segment membership entity is the most recommended approach for persistent and efficient editing.
    • Advanced Find is suitable for quick, ad-hoc edits.
    • Exporting to Excel and importing is best for larger edits.

    •

By using these methods, you can effectively edit contact records within your RTM segments.

You say, "RTM uses a related entity to track segment membership. You may have to look into the data model to find the correct entity."
What are we looking for?  What is the correct entity?
The only segment related entity I can see when building a contact view only includes Outbound Segments, not real time segments
Thank you for your help.  Guy
