Distinguishing between sellable and nonsellable inventory in GP

Hi all,

I am new to GP and was wondering if there would be a way to separate sellable and nonsellable inventory of the same product in GP (creating separate locations within a site)?

Currently both sellable and nonsellable inventory is grouped under Qty On Hand and is indistinguishable in the system. 

Would utilizing bin functionality to create separate locations within a site to separate this inventory work in this situation? How would I go about setting up this bin functionality?

    Hi Mark,

    Yes you can multi bin function to achieve the above.  But please note that once you enable multi bin each inventory transaction you need to enter the bin coming and going out from.  Please click here to see the Microsoft KB detailing how to setup multi bin in GP.

    There are different kinds of inventory called "Quantity Types" in GP. These are QTY on Hand, QTY Returned, QTY In Use, QTY in Service, QTY Damaged. By using a transfer entry you can change the quantity type of an item.

    You could designate a Bin as a Default Pick Bin and only stock Saleable Inventory there.  

    Can't remember whether or not you can limit picking to that bin only.

    Tim, you might not be able to limit the choice, but you can set the default - and that might help.

    Just a matter for clarification.

    What makes an item 'non-sellable'?

    Is it damaged, used, returned?

    If any of these, then you might consider moving the QTY to the different OnHand definitions.

    Second question, if they are returns, damage - could you stock them as a different inventory item number?  with similar number details, but with an extra character?

    If they are real items.One can create a site on GP and you call it non sellable but you need to change them from being on hand to either returned,damaged,In Use, in Service with the help of Item transfer entry (Transactions>>Inventory>>Transfer entry at the bottom you will see all these quantity type options)so that the item becomes non sellable but when its on hand then the item can be sold.

    Thanks everyone for the responses.

    In this case, a nonsellable item would be a physical item that is returned, damaged, etc. and would need to be tested and/or refurbished. We would not be able to stock them as a different inventory item number. They are stocked with a specific SKU with certain SKUs containing items that have their own unique serial number and certain SKUs containing items that do not.

    Our preference would be to set up separate locations within one site, as opposed to setting up a separate site for nonsellable items (unless we have no other option).

    Would that mean our only option would be to setup bins or would we be able to use the different on-site definitions at the same site?

    Am I correct to assume that if I use different on-site definitions, that we would be able to pull or place items from whichever specific quantity type we need (for example, pulling from Qty Damaged when shipping to be refurbished and pulling from QTY available for sales transactions)?

    Hi Mark,

    Please see below the difference between Item transfer entry and item transactions.

    1) Item transfer is used to move item your own location one site to another site and in this you have option to select quantity type from site to site and you can select on hand, returned, In use, In service and damaged.  this is available from site and to site.

    2) Item transaction entry will move the qty on hand to the site either issue or receive.  If you have enabled multiple bin you may select it otherwise it will increase or decrease depending on the transaction you are entering.

    Thanks for the information Babu. One last question:

    Currently, when we receive returns, a decision is made whether to put the items into sellable or nonsellable (damaged, used, etc.) inventory.

    Would the inventory received in a "Return" transaction in the "Sales Transaction Entry" screen be placed in the "On Hand" quantity type? Is the only way to move this inventory to the other on hand quantity types (Returned, Damaged, etc.) be via a transfer entry? Or is there a way to place them into the other quantity types during the Return transaction without having to do a transfer entry?

    Hi Mark,

    When you book return from customer you have option to qty to On hand, Returned, In use, In service, damaged.  So you have option where to put while qty return from the customer.  But once is the qty already gone into any of these qty type the  the transfer entry is the only way to move it.
