Hi All ,

AX 2012 R2 

Client using AX 2012 R2 for the last 4 years with some key modules like GL,Bank , AP , AR ,Inventory and Production in 4 companies. Now they are in the process of restructuring current COA and Financial dimensions also and the plan is to replace existing COA with new accounts and same way replace old financial dimensions with new financial dimension values.

The implementation process is as cited below.

a) Identify impacted setup/configuration areas in every module where need to change COA and Financial dimensions

b) Import new main account under existing COA code only and new financial dimensions.

c) Create new Account structures

d) update new COA and Finacial dimensions in each module where to be replaced with old accounts & dimensions

e) Activate new AC and assign to ledger form 

f) post transactions and validate test results

If test results are positive ,then as per go-live cut off date will do similar exercises.

Would be great,if you can share any pros and cons here and any steps to be added .

    Hello sri17,

    You might see similar issues with the findims as with the ledger accounts.

    In addition, also consider reports that might have been designed in Management Reporter or other reporting tools so that they are also adjusted correspondingly.

    Do you see any issue on financial dimension values  replace also with new financial dimension values?

    Hi sri17,

    You are right with your question and you might see that transactions are still posted on the old accounts. Therefore, do not immediately put them on hold and rather do not allow manual entries on those old accounts as it might prevent you from finializing open transactions that you cannot close until you make the change.

    In any case, do some testing around those open positions and talk with your accounting team how to deal with open balances and moving them to the new accounts.

    You will have to add those points to your migration list that you shared above.

    Thanks for the reply Ludwig,

    I haven't cited about open transactions in above post, but we already acknowledged that point. But this is major challenge as in the real business  world, chances would be high that would not receive invoices ontime and that causes late invoice posting.

    Assume  that May 31st is cutoff date to close all open transactions and then changed COA and Financial dimensions. Post that if we have any open Purchase invoice to be posted then how?

    Hello sri17,

    Some comments on the process steps:

    1. In Ax2012 R2 there were issues with the activation of account structures that were subsequently fixed through hotfixes. Please test that you have them installed to prevent problems.

    2. How do you ensure that you do not have pending transactions that used the old accounts and account structures. Examples are sales orders / purchase orders shipped not invoiced, transactions that will be picked up by the inventory recalculation and closing process. When you record those transactions it might be the case the transactions that are adjusted or that will be refersed still refer to the old account structure and/or accounts. Test this carefully before implementing your steps to avoid problems.
