How to prevent empty records from being created

Posted on by Microsoft Employee

Hello CRM Experts,

I have an Opportunity form which contains a Status field with the values "Working on" and "Transferred to NAV". This Status field is also placed onto my Opportunity product and mapped.

When the Option Set value is "Transferred to NAV", all fields on my Opportunity Product are locked via Business Rule in order to prevent from creating an Opportunity Product after the Opportunity has been transferred.

Unfortunately the result is that after pressing the save button on the Opportunity Product form when every field is locked, an empty Opportunity Product gets saved. I have also Business Required fields on the form but CRM does not care for them as they are locked. The only solutions that I know are Java or creating a Business Required field which is not locked. Does anybody know another way to prevent from creating an empty Opportunity Product when the Status is "Transferred to NAV"?

Thanks in advance!

Best,

Amber

    Hi Andrii,

thank you for your helpful post! Your mentioned solution could be could solve my problem. Unfortunately I can`t change the "Start when" from "After" to "Before" Record creation.

Do you know how I could choose the "Start when" "Before" Record creation?

    Thanks in advance,

    Amber

    Hello Amber,

I would suggest to design a Real-Time workflow that will be used for a validation of current status of parent opportunity and if it has status "Transferred to NAV" will finish with Canceled state to prevent creation of that opportunity product. Check article that describes that approach in detail - garethtuckercrm.com/.../crm-2013-new-features-using-real-time-workflow-for-validation-rules
