GL Distributions Error Messages

We have a user experiencing errors guring GL Distributions:

Error:The sales distribution(s) does not equal the actual amount.

Error:The tax distribution(s) does not equal the actual amount.

Has anyone seen these errors and know how to resolve them?

    Have you found that running Checklinks resolves the error message in order for the user to be able to post their transaction?  We have a user who created a Credit Memo today, entered an incorrect Credit Amount, opened the Distribution window and then went back to enter the correct Credit Amount, only to get the "Sales Distribution(s) does not equal the actual amount. Taxes Distribution(s) does not equal the actual amount." error message on the Edit List and was not able to post the batch in total.

    To avoid having to wait until later on and/or have to have all users log out during a busy part of the month for billing, we zeroed out the credit amount and deleted the distribution and will post a zero dollar transaction.  I'm just curious if anyone has successfully resolved the error by running Checklinks.

    Victoria's article is great - lots of detail!

    This error is easy to stumble upon in the Receivables Transaction Entry window. Unlike SOP, once you open the distributions window in Rec Trx Entry,  the amounts and accounts are locked. Any subsequent changes made to the transaction will not update the distributions.

    For instance, if you enter a $50.00 sale in Receivables Transaction Entry and then go look at the distributions, the distribution amounts and accounts are locked. If later you change the amount of the sale to $45.00, the sales tax will be recalculated on the transaction entry window, but the $45 and the new sales tax won't change on the distributions window. The exact error message you mention will show up on the edit statement.

    This same behavior is seen in the Payables Transaction Entry window too.

    If you are in the Sales Transaction Entry window, as Richard is suspecting, in my experience there are typically 2 things that cause these types of messages:

    1. Someone was manually changing GL distributions and made a mistake.  This can be fixed by looking at the changes and correcting them, or defaulting in the distributions that GP originally had and re-entering any changes needed.  I have a blog post that  might help with additional information on this: victoriayudin.com/.../sales-transaction-entry-gl-distributions-in-dynamics-gp.

    2. Something went wrong during the transfer of a transaction and what's in the header table in GP does not match the detail.  For example - the header record thinks the total sales amount is $450.25, but adding up the line items only comes out to $389.50.  This can usually be fixed by a reconcile (GP | Tools | Utilities | Sales | Reconcile - Remove Sales Documents, select your transaction in the From and To).  If reconcile does not fix this, once in a while I have had to fix this directly in the database.

    Sounds like you are in Sales Transaction Entry when you are receiving this. You must make sure the items have been set up with the correct sales, COGS, inventory and other accounts not to mention how sales tax is to be computed(based on item or customer) and then set the proper sales tax schedules on the customer card,check out KB 872674 for complete sales tax setup information.
