Workflow to send emails to just acquired email address.

Hi,

I'm using the 'Activity : Phone call' entity (very modified) to collect information about people enquiring regarding the services that our organisation provides. One of the modifications includes a field to record the email address of the enquirer.

Once entered I can manually click the address in the email field & it will create an email (in Outlook) with that address in the 'To' field - so I thought that a workflow would do something along these lines (in the background).

When the record is saved the aim is to send the enquirer an email with information attached via a workflow - triggered by the 'save' event.

In the workflow 'Send email : Create New Message - Set Properties' section I was hoping to be able to populate the 'To' component of the email with the address that was just entered.

However, when I set the 'Look for' box to point to the Phone call entity, the pick-list immediately below that only list fields that are look-ups for other (system) entities - so it seems that I can't do this... or am I doing something wrong or missing something?

If what I am trying to do is possible I would appreciate hearing how... if it is not possible, then perhaps there is a work-around someone could suggest.

    One entity can have one primary email field only which CRM uses to send emails. I don't think the phone call entity can be used as an entity to which you can send an email as that is also a type of activity. You can create a new entity named as enquirer (or use an out of the box entity like contact) keep your email address there, and place a lookup of enquirer on phone call entity. This should let you send email to the enquirer

    Hi Doug ;)

    One possibility, if you know this email address belongs to a new user, could be to create a new Contact (or Lead possibly?) via the workflow designer, before the send email step. Then during the send email step you should be able to refer to the newly created Contact/Lead.

    The other possibility, if you want to check if the contact exists first, would be a small custom workflow assembly that takes an email address as an input parameter and passes back a contact record if it finds one with that email address.     Got it working. As you both suggested I created a new entity (contact) & am referencing that from the workflow to populate the email 'To' field.
