Batch Posting Audit Trail in GP 9.0 (who posted the batch)

New to the forum and need help with a GP 9.0 question.

I am doing some private consulting on GP and my client is trying to locate a report, query, etc. that will provide the user's name, or other identifier, showing who posted individual batches for any, and all, transactions within GP.  I have searched the net and my books to no avail.  Is anyone aware of a way to track this data within GP.

 Thanks

 James

    Thank you for your reply!

We've verified that batch approvals are turned on, but the customer is unwilling to provide us with the security password to analyze their security settings (honestly, they probably don't even know it since the CFO left).  Basically, my client is just trying to get control where there was none in the past.  They will be migrating the customer off of GP within a few months, but need to maintain GP usage until that time.

Thankfully, once off of GP, my client will have complete sontrol of the security of the system.

    Thanks

James, part of the problem with tracking this after the fact is that not every transaction type stores this data in the same way or in the way that we'd want.  If it's absolutely necessary to report on existing data, then you need to look at each transaction header table and in some cases make best guesses.

If they are ok doing this for future transactions, consider turning on batch approvals.  That's already in the box, just some setup changes.  Also consider restricting who has security permissions to post.

I was afraid you were going to say that.  Especially, since this customer does not have the Audit Trails module.

    Thanks

    James,

Audit Trials Module would help you in this case. It tracks every detail of activity happening in the system.

    Victoria

     Thank you for the reply.

The situation is that my client is an out-sourcing Accounting firm who just picked a new customer that is using GP.  However, no one in the out-sourcing firm has used GP before and the CFO of the new customer has left that organization, as well.  As such, I am working with the out-sourcing firm to establish procedures for all daily, weekly, period, etc. processes.  Currently, the out-sourcing firm is monitoring GP activity via VPN, but there are supervisors, etc. in place at the customer location that post some transactions (primarily AR and AP).  The out-sourcing firm needs to know who is posting what so that they can ensure that proper separation of duties and controls are in place.

Hopefully, this gives you a better understanding of what, and why, we are trying to gather the "who posted" batch information.

     Thanks

    Hi James,

There is no one answer to this for any and all types of transactions in GP.  You may need to look at each transaction type (or at least module) individually.

As a start, in the GL, there is a user who posted (USWHPSTD) column in the GL20000 (open years) and GL30000 (historical years) tables.  If subledger transactions are set up to post through the GL, then typically this will also be the user who posted the original subledger transaction resulting in the GL transaction.

That said, typically, this kind of question is asked when there is an issue.  Perhaps if you could explain what the issue is, someone may recommend a different way of addressing it.
