User Name Update

(1) ShareShare

Posted on by 365

Hi,

One of our user will have a new last name therefore her email address will be different.  Since we are using email address as User Name I need to modified .  In Dynamics CRM Online I updated her primary email address but the User Name is protected.  I assume this has to be done by the Admin from Office 365. Do we have to delete the user and re-create it or is it possible to just update her username?

Once the username is updated, what will happens to all her records in Dynamics?  Will they remain her? will I need to reassign the records?

Anything else I need to be aware of?

Thanks for your feedback.

    Hi,

Yes, the user name and last name must be changed from Office 365 Admin center. You have to create an alias and set it as primary (for new logon user) and edit display name, but you will have to consider the following.

If this user has Skype for Business, they'll need to reschedule any Skype for Business meetings they organized and tell external contacts to update the contact information for them.

This user will also need to update their user name in any apps they use, like Outlook, OneDrive, and any mobile apps.

Make sure you tell the user about these changes.

If you decide for the changes, after applied, the user has to sign out and login back.

Wait 24 hrs. for replication of the new user info. to all apps.

How will this affect the records assigned to the user after updating the user name?

    Hi,

The owner field will be updated with the new user name, but all created records will remain in the database.

It might take a little bit of time for changes to sync from Office 365 to CRM.

    Hi,

You cannot modify username field once it is created. So in that case you will need to delete and recreate the user.

If you want to change first/last name, then you will need to update user's display name in O365 Admin portal and it will be reflected in CRM environments.

Changing of display name will have no impact on the records which are owned by the user. Also, if you delete the user from O365, it will still remain in CRM as a disabled user. Hence if you want to reassign those records to newly created user, you can easily do that with Assign feature.

    Hi,

Yes, you can change user name from CRM online portal and you need to be office 365 Admin for this. Also changing last name won't make any difference to owned records.

    Thanks
