Thank you for the information. My largest client had 4 unions. We were able to utilize the same pay codes for the unions because we had the hours separated in their time and attendance system (it was Kronos TKC). An example was REG for regular hours, 100 for $1.00 per hour extra, 150 for $1.50 per hour extra, etc. You will need to look at all of the grandfathered options.
I would also recommend using the Employee Classes to group them by union. This is way to help differentiate the employees. This is helpful for a lot of reporting and you can assign just the pay codes\deductions benefits together. Something else to keep in mind for planning, if you have the HR module, is utilizing the discipline and grievance capabilities for the employees. Discipline allows you to do some point calculations. There will also be grievances and you will want to track that.
I would also recommend in you organizational structure to group the employees by unions. Where I am going with this is, if you share pay codes above (ie: REG for Regular rate) then in order to do any wages changes for the employees (contract change) it might be easier. I would look at the HR utility of Compensation Management to see what your selection criteria are. This was helpful for one of my clients because there was a minimum wage increase, which meant their union members wages increased (the contract had a clause regarding minimum wage). This made the change much easier to bear.
For Deductions\Benefits we used different codes for each union. For example for union A we used ASING for the Employee, AEPS for Employee plus Spouse, AEPC for Employee plus Child, AFAM for Family. You would then replace the A with a different letter for each union. The key reason for doing this was when the cost sharing and employer rates changed for these deductions\benefits it could be changed at the Setup Level and rolled down through HR\Payroll. This will be more important now for showing the Insurance Premiums on the W2’s because for each of these there is a different rate for that also. I would rather maintain this at the setup level and roll down versus per employee basis.
In answer to your initial question, I never researched or looked in any third party add-on so I don’t know if there are any available.
From what I understand, we will have employees in this GP company from 15 different unions to start, and and have to keep track of the various benefits for each union. The controller is worried about having to create hundreds of paycodes and benefits codes.
We have 31 active companies, but this is a new one (our first with unions) and I am looking for best practices to recommend to accounting.
Is this for a company that has a bargaining unit or is it for 'Local' that has memberships. I have only had a couple of clients that bargaining units, but we were able to do without any special add-ons. Is there something specific that is needed?
