Why can't we select Workflow status in Ledger daily journal workflow

Hi all,

Regarding Ledger Daily Journal Workflow, for the main table LedgerJournalTable, as per my understanding the field to identify that the record is already approved or not is the field named WorkflowApprovalStatus.

May I know why this field not appeared in the workflow it self ?

This screen is taken from LedgerDailyJournalWorkflow, within its ApprovalJournal-Step like below picture:

And how to make the field appear ?

Hi @Ken Manhattan,

Can you check if you have this field on the query that is used on this Workflow. you can get the name of the Query from Document Class of the workflow (getQueryName) method

for example, In this class LedgerJournalWFApprovalDocument the Query is LedgerJournalWFApprovals.

After checking that query, it is not included, as below:

But I found those fields (for table LedgerJournalTable) also lesser than what being displayed in workflow as well.

Aside from it, if the field selection in Workflow editor is based on this Query, does it mean I have to customize this Query and add WorkflowApprovalStatus field manually through some extension ?

Hi Billur,

I want to make my workflow check if the approver already approve or not, in other words, already take action or not ?

If it is not, I want to have the same step repeat (at least 1 time).

So, I'm thinking, in that Step1, there will be no escalation, and let it over due, then I will add another step : Step2 with the same approver with some extend time limit. This step will only run if Step1 not yet approved or rejected. Does it make sense ? and does it applicable ? the intention is to make a reminder for the approver that he/she has not taking any action. Then in this Step2 I will set the escalation and for auto-reject, if the approver still not taking any action (for the 2nd time)

Or do you have some idea how to make a reminder ?
Worth to mention again, I only want to remind by email when it is due, not to auto reject or approved when there is no action. Purely just remind again by sending email notification.

Hi @Ken Manhattan,

Yes, in case you want this field to appear in the Workflow, try to add it using an extension to the Query.

For your question why you have more fields, do you have any other extension to the query? Also can you give me the name of the form that has this workflow?

Form is LedgerJournalTable. and for the Query, I don't have any extension in that query for now.

Hi Ken,

In case a user will approve the journal in step 1, then the field value on the journal is not updated directly. So, in step 2, it is still pending. Your idea will not work as step 1 should be completed before it will activate step 2. In case you need to send reminders, you can e.g. use Power Automate flows sending emails based on open work items.

Hi Andre,

"step 1 should be completed before it will activate step 2", does it mean, even when it is overdue (time limit of Step1 exceeded), it will not trigger Step2 ?

I've added the field "WorkflowApprovalStatus" in its form "LedgerJournalTable". I guess it does not need to be in the grid, right ? Currently, it is put in Tab General (just for testing)

But somehow it is still doesn't show in field selection of the workflow:
