Emailing list of contacts using advanced find

This may be a pipe dream, but I am wondering if anyone has any ideas if this could work.  We run training programmes and as such we have a field on the 'contact'  entity called 'Programme number'.  We can use this number in advanced find to find the list of contacts who are connected to that number.  The annoying thing is, we would like to be able to email a group of contacts without having to use direct mail.

Two ideas I have, but have no idea if possible are (if either can be done taht would be amazing):

1. We run an advanced find and the results show the list of contact - we then select all the contact records in the view that we want to email and select the 'more actions' menu or an email icon link next to the direct mail link.  From there there would be an option to create a new email using the records selected, whereby a new email window opens and automatically inserts the names into the recipient list.  We can then compose our email as normal.

2. We open a new email window and select the look up for the 'to' box.  From there we get a similar wondow to advanced find, where I can search using the 'contact' entity, but can then also drill down further and show only the contact records that have the programme number I want.

Does anyone see a way to do this?  Maybe creating a rule to run in advanced find that can do this?  I did look, but can't see a way.

I use CRM 3.0 web client.

    Laura,

    You are wanting the Quick Campaign feature.  There should be a button on the toolbar that allows you to start a Quick Compaign of the type Email.

    I use this all of the time to send out ad-hoc emails to lists of people.

    Thanks very much for this, but I need to be able to add attachments as we will do joining instructions with this feature I want.

    Well, then you're going to have an issue.  You can add attachments with a marketing campaign directly.

    If you need attachments, you can create a workflow that sends an email using a template and have that template have an attachment.  It's a real pain, but just about your only alternative.

    Hi Laura, ignoring CRM functionality for a moment, it's best practice to use an embedded hyperlink in your email and make the joining instructions available to download from your website rather than add an attachment to an email marketing message.

    If you add attachments to your email marketing messages (using templates as described by Mitch), you may find that:

    1. Your database fills up pretty quickly and this might annoy your database administrator

    2. Your emails will be many times larger than they could be and this might annoy your email administrator and your ISP.

    3. Your emails will be many times larger than they could be and this might annoy your recipients and their ISPs and result in emails from your domain being delayed, filtered or even blacklisted.

    My advice is to use hyperlinks for any attachments larger than 100KB (i.e. very small documents)
