Dynamics GP WorkFlow Delete Approver from Active Directory Users

I am working with Workflow in Dynamics GP 2015 Requisitions.  The requisition workflow has been working for awhile and we can go into history.  In history, I see the the aprrover Jane Doe.  However when Jane Doe leaves the company and her active directory account is removed.  Then when I go back and look at the History I see SYSTEM and not Jane Doe.  This leaves no audit trail and my auditors are having issues with this.  Is there a resolution for this?  Was this not considered in the system design.  Are we never allowed to delete Active Directory users if we are using this workflow option?

    I really could use a statement from Microsoft on this.  In all of the minimal documentation on workflow I cannot find anything on this being the expected behavior.  Could we get a response or pointed to the documentation that covers this topic?

    Hello Pete,

    I can't say I've heard of this behavior before, so it likely isn't something that anyone else has noticed happening.

    I'll have to test this out tomorrow, but based on the behavior it would appear that since Dynamics GP's call to AD can no longer resolve the SID that is stored in a workflow table it reverts back to default value of SYSTEM as a placeholder.  

    I'll let you know what I find in my testing to see where we can go next.

    Pete,

    To test this I created to contoso\Bob account and made it the Approver for a Purchase Requisition workflow.  I submitted a req to Bob and he approved it.  When I look at the history it showed that Bob had approved the document.

    I then deleted the Bob user from Active Directory.  When I looked at the documents history again my step approval record shows as SYSTEM.  

    Workflow history is held in the WF30100 table in the company database.  While this table does seem to have a  Workflow_History_User field that holds a value of contoso\bob, the key user field is really Workflow_Step_Assigned_To, which holds a GUID for the user that ties back to the WF40200 table.  If you find that record in the WF40200 table you'll see the ADObjectGuid for the user. That's what we would look up to resolve the AD account for this form.

    If this is something that you would like to see changed in a future release I would agree that this would make an excellent suggestion for the Ideas (experience.dynamics.com/ideas) site.  Our Product group regularly reviews those suggestions and that is where a many of our new features come from.
