Change Control Line Item on Blanket PO in GP

Hi,

We have a problem with one of our blanket POs. The control line item number was incorrect, so we'd like to change the item to the correct item number.

The problem is that we cannot change the control line item once we released the PO. If I canceled the line item, then the PO will be closed.  We need to keep the same PO number for this order. Are there any ways to add another control line item on the same PO? We don't want to purchase additional modules for that, so we hope we can find a way to work around. Please advise if anyone has better idea.

By the way, our GP version is GP 10.

    I don't think so. Although, testing that is a must.

    I would recommend reviewing this issue with the third party product partner, in order to be sure of any ramifications. But taking this from Dynamics GP point of view, I don't see any problem with updating the status and deleting the Blanket PO.

    Actually, there is a 3rd party module involved on POP table. Is it going to be affect if we update PO status from the table?

    As long as no receiving transactions have been posted on this Purchase Order, I wouldn't have anything to worry about. Associated tables include mainly (POP10100 Purchase Order, and POP10110 Purchase Order Line Items).

    I would simply update the POSTATUS of this purchase order to be (1) - New, In order to be able to delete this purchase order. Then, go and delete this order and get a new one with a correct control line item number.

    no, we haven't received any items yet for this blanket PO. However, all lines have been with released status, so cannot delete.

    Have you received previously posted any receiving transaction on this Blanket PO ?

    Thank you, Venugopal, for the reply.

    Unfortunately, the control line item is an inventory item, so I guess we have no choice to create another PO with different PO #. Please let me know if you have other ideas.

    Hi,

    As there is no direct way to change the Item Number for the control Line Item, however you can try out the below option under the DBA guidance. Do this on your Test Environment perform test and confirm before moving to production.

    Steps 

    1. Make sure all users are logged off.
    2. Take a Backup of the Company and Dynamics Databases.
    3. Run the below script against the company in SQL Server Management Studio with the help of your DBA or System Admin.
      Begin Tran
      UPDATE POP10110 SET ITEMNMBR = '<New Item>', VNDITNUM = '<New Item>' where PONUMBER= '<Your PO Number>'
      -- Rollback Tran
      -- Commit Tran
    4. Replace <New Item> with your new item and <Your PO Number> with your PO number.
    5. Reconcile Purchasing Document <Microsoft Dynamics GP >> Tools >> Utilities >> Purchasing >> Reconcile Purchasing Document)
    6. Open PO Entry and check the PO.
    Note : Please use the above steps only if you have entered a non-inventory item in the PO.
