Workflow Reminder Email

Posted on by 1,745

We have a workflow task in Dynamics GPthat is setup to approve POls and send a reminder email if not approved in X time and it is doing so appropriately.  We now want to edit that email content?  Specifically we would like to add the Approve or Reject Button.   How can we edit the contents of this email or can we?   I don't see it listed in the Messages Setup  - Message IDs.

Thanks in advance for your help.

Yea, I can do that.  It looks like different email to me that is just not exposed to us. Subject and body are different.

From what I can determine, is we're using the same email template, in this case for the PO Approval workflow, but when the escalation process runs, it pulls the default version of this email template and not the one that has been modified to, in this example, to have the action links or any other modification of it.

That works for the original workflow.  It is using the message id of WF Assign PO Approval and we have the approve and reject in that one.  It is great.  The issue is the REMINDER email.  It is different from the original workflow message.  The email I posted originally is the Reminder email not the email that is sent via the workflow using WF Assign PO Approval.  Here is what the original message looks like side by side with a reminder email.  They may not be from same PO but what I could get to real quick. Also attached our WF Assign PO Approval message setup. WoflowMessageSetup.JPG

    Hi Robyn

Go to Microsoft Dynamics GP > tools > Setup > Company > workflow > email message setup

I have opened my GP 2018 test system and called up the Message id you are using which is the default email message id  WF Assgin PO Approval*

In my system the {%Workflow Action List%} field appears

All you need to do is add it in and then save.

    Try that.

If it doesn't work, I have encountered a few times where modifying the original does not work, so you have to make a new email message to use instead.

Simply create a new id and then copy over the body of the message.

Not a modified email at all this is the core email when you have a workflow set to send a reminder, this is just what it sends.  I am trying to figure out how to modify it.  There is no message set up for me to edit that I can find that is for Workflows.  See the picture attached on original post that has all the messages available to edit.

Attached is a picture of where the reminder is set to send.

    Hi Robyn

Looks like you are using a modified email.

You will need to go into the workflow email message setup

    Select your email

Position your cursor in the body of the email where you would like the approve/reject to appear

At the bottom of the window, click on the radio dial for workflow fields

then in the field drop down list select Workflow Action List

    click on insert

    You should now see in the body of the email, {%Workflow Action List%}

    Save and test it out
