Table Import: Importing GL Accounts in Account Master

I tried to use the table import function to push GL accounts.  I have used "Tab Delimited" file.  The table import format is pointed to Account Master Table.  Then,  I mapped the field such as Segment 1, Segment 2, Segment 3, Account Description, Typical Balance, Posting Type.  However, when I push this tab delimited file, it comes up "rejected" message.

So what fields that I need to map in order to push the GL Accounts to Account Master Table successfully.

    Josy,

    For GL Accounts Table import is not recommended, since it has no validation.  You can do the same using macro which will work fine.

    Normally we won't recommend to use Table Import method to integrate data into GP. Because, there is no validation. After importing data into GP, you also need to run the Check links.

    There many other methods are available for GP integration. Please have a look on the below link.

    If you own Integration Manager, that's the way to go. If not, the macro is your best bet.

    Yes, I already check the Integration Manager Tool since it has a Chart of Account template there.  However, the template only have 3 columns setup there.  One is Account Number, Account Description, and Account Category.  However, the IM template does not have these 2 fields that I have expected.  For example:  Typical Balance and Posting Type.

    I really need these 2 fields there.  Without these 2 fields, I couldn't use this IM tool to loading the chart of accounts.

    The other method is to use Marco.  But I need to know how.  People in Forum keep saying to use this method.  However, I don't have the template and how to document.

    I am a big fan of the Macro method, here is a comprehensive video tutorial by Heather Roggeveen: Recording a macro with Mail Merge

    Although, I prefer the Excel-based methodology, for which I am working on a series of Excel-based macros. The chart of account one is to be published soon on Macro Essentials Series

    Hi,

    Here is a step-by-step guide for Integration Manager. You do not need macros.

    Open IM, Click New Integration.

    Give it a name, click OK. Right-click Destination, and choose Add Destination:

    Choose MS GP > Financial > Account

    Right-click Sources and choose Add Source

    Choose Text in the left screen, and Define New Text in the right:

    Give the text file a name, and select it from the File lookup field. In the delimiter, choose Tab, and check First Row Contains Column Names if that is how your tab file is set up.

    For accounts, I assume from your first post, your account framework has three segments, so your account numbers would probably look like XXXX-XXXX-XXXX. This is what you want to upload. GP will automatically create the segments for you. So, you will want to remove the Segment 1,2,3 columns from your file, and replace them with the full account numbers. 

    When the file is mapped to the source, you can click on the columns to see the columns to be integrated.

    Click OK, and Double Click on the Account Mapping in your integration window. Your settings in this window should look like mine:

    Since your file does not specify a Category from your original post, I assume you are not using them. However, they are required when setting up an account. We can make all of our accounts the same category by making this required field a constant value as shown in the picture above. This does not need to be "Sales," but it does need to be something that is defined in your GP Account Category setup. 

    Once you are done, click save, and run the integration with the GP company open you want to integrate to.

    I agree with Joshua, IM has everything you need to import your chart of accounts.  Keep in mind that assigning the correct Account Category can make creating financial reports in FRx or Management Reporter faster because both reporting tools can use Account Category in the Link to GL (FRx) or Link to Financial Dimensions (MR).

    You can not go wrong with this solution - in fact this is one of the best and as far as I go with my clients - the only way to get data into the system.

    Josh has done a great job in laying out the how to - you should not have any issues with his notes to follow.  Well done Josh.
