ReportReport
Posted on by

Hi

does anyone know how to print a report showing account numbers and account type for every payables transaction?

I am working in version 10.

all cash accounts should be have an account type as cash, a lot of times the girls hit pay, and I have to go through every transaction to find out which one, having a report would help a lot when reconciling.

thank you

Are you specifically referring to the account type on the posting journal and/or edit list? If so, the account type already prints on these reports. PURCH for purchasing, CASH for cash, PAY for payables and so on. If this is not what you are looking for please post back.

    Hi Mariano

thank you for your reply. Yes I know they print out on the edit list, I quess the best way to explain is what I need is the print edit list but one huge file for a month at a time, this way I may look fast or sort them and know right away if one was not recorded correctly.

Have you tried Reports > Purchasing > Posting Journals? These all print for a date range with the account type on them.

To get a simple clean report like you want you would need to print a custom report.  If you have SmartList Builder, I would suggest using that or Excel Report Builder (included with SLB) as your report can be quickly sorted and sifted on screen.

Richard's approach is correct too... however, you will have to implement a gigantic case statement for the account type since column only stores a numeric equivalent in SQL. You can take a look at the SDK for the numeric equivalent to PURCH, CASH, PAY, etc...

If you're looking to write a custom report, I have code for this posted on my blog: http://victoriayudin.com/2008/11/28/sql-view-to-show-all-gl-distributions-for-ap-transactions/.

    Hi again Victoria

I hate to ask this questions but, I have been using GP for years we are on version 10, no one has ever set up reports so I am about to begin, what do we need with GP10 to start this we do not have crystal reports, your blog shows codes so I got confused I know that we need and will use custom reports.  If I know what I need that would be great.

    I thank you very much

    Hi Patricia,

There is no one answer to your question.  A lot depends on the reports you will need and what you already own.  Another critical component will be what resources you have available.

For example, if you own SmartList Builder, you can easily use the code in the blog post I pointed you to to create a custom SmartList.  Here is a blog post going through this: http://victoriayudin.com/2009/04/20/how-to-use-a-sql-view-in-smartlist-builder/.  Steve Chapman also has a video on this: http://www.youtube.com/watch?v=sAnz1gzZHnk.

Another example - you have an internal resource that is familiar with SQL Server, but not so much with GP...they can run the SQL code provided and export the data to Excel for you.  If this is something you need to run all the time, they can create an Excel report for you that you can run without them.

These are just two of many possibilities.  You may want to discuss this with your Dynamics GP partner so they can get the whole picture of what you're looking to do and recommend the best solution for you.

    Hope that helps.
