Remittance Advice - Long file name problem

Hello everybody,

When I make a payment to a vendor, GP emailst a Remittance Advice to the vendor, the problem is that when they receive the email with the Remittance Advice attached it includes a long filename path C:\Users\username\AppData\Local\Temp\XXX\Company Name\xxxxxx\date\... and this looks very unprofessional.

I asked a colleague who is also using the same version of GP and he says that his only emails out the file and it only says Remittance Advice with no long file name associated with this.

I would like to fix this as it looks very unprofessional.

    Hi Michael,

    It sounds like you may be using different Message ID's when you send out your emails.  Are you both in the same company in GP?  You can see which Message ID you are using by going to: Purchasing > Setup > E-mail Settings:

    EMAIL-SETUP-_2D00_-REMIT.png

    In this case, our Message ID is 'EFT REMITTANCE'.  If you click on the magnifying glass you will see other Message ID's, if they're are others already setup, and you can then click on Open to see the body of the email message.

    Let us know what you find.

    My colleague is on his own instance of GP, so we are on different servers.  I did however review the message ID on my server and I don't see any reason why it is including the full path string in the Remittance Advice when it is being emailed to a vendor.

    Where does the long file name print? Is it on the actual attached document? Is it in the footer?

    Yes, take a look at Tools, setup, System Preferences / email Preferences. Make sure it says Exchange and not MAPI and remove the chexkmark to protect documents.

    Hello Michael,

    Thank you for the quick feedback. I tested with the system preferences settings as suggested but i still get the same format of location path >> C:\Users\..\AppData\Local\Temp\26\Companyname REMITTANCE [] date time.pdf. :(

    Please restart the GP server ( a complete reboot) and try it again. I forgot to mention this step. Let me know if that fixes it for you.

    Hi All,

    We are having the exact same issue, so I was really glad to see a thread about it.  

    Michael - Regarding the checkmark next to "Protect .docx attachments with a password," does that only matter if your attachment is sent as a Word document?  We send our Vendor Remittance attachments as PDF files.  Is there a different setting that would help for .pdf?

    Hi Sharon, Yes it is only for a Word document (because Microsoft owns Word).  For PDF files perhaps there is a setting in the PDF program that can password protect it.
