letter security

Have just come across users having access to the Letter Writting Assistant in Great Plains 2010...Employee Records, personal information, SSN , Birthdate etc???

How do I hide this from non HR users?

    Hello Tami!

    If you're using Default Security Roles and Tasks (denoted by a * at the end of the name), then you need to go into each assigned Role and remove the following tasks from the Role attached to the User ID you want to limit:

    RPT_PAYRL_010

    RPT_PURCH_005

    RPT_SALES_005

    RPT_SALES_006

    TRX_SALES_CM

    Example:

    1.  In the Security Role Setup window (GP -> Tools -> Setup -> System -> Security Roles)

    2.  Select the Role ID used by the user you want to limit.

    3.  Mark the Display Selected Tasks checkbox.

    4.  Find the above Task IDs and make sure they are unchecked.

    5.  Click Save.

    If a User ID has multiple Roles associated, you would need to remove access this way for all Roles assigned in User Security Setup (GP -> Tools -> Setup -> System -> User Security).

    Conversely, you could remove the Tasks from all Roles, then create and assign the Tasks to a Role that you can assign based-on who needs to access the window versus the current way of taking-away rights for all Users of a common role like 'AP Clerk*'
