Smart List Data

Posted on by

I am trying to pull detailed inventory data through a smart list so I can tie the Class ID amounts to the GL month-end closing balance.  I have been told that I cannot put the search criteria to search by Posting Period.  Is this correct?  Whichever answer I am given, how would I do that?  When I put search criteria like Posting date is between 07/01/2014 and 07/31/2014 the list comes back with nothing.

Thank you in advance for any help that can be provided.

Kristin

    RE: Smart List Data

    Kristin,

Mahmoud is correct, the HITB report is the best option for your stated purpose.

Initializing the HITB summarizes all the activity to date, so the sooner you get this deployed the better!  After initialization, a new table SEE30303 is created and every detail record posted in inventory, from that point forward are recorded to it, complete with posting information.

It is imperative to closely follow the directions on rolling this out.

Deploying the inventory reset tool is not a simple routine that you can simply run without prior knowledge of the results, you can for sure get the appropriate HITB reset build according to your Dynamics GP version from  Customer Source Download - Historical Inventory Trial Balance , Inventory Reset Tool

You should contact your partner for the deployment of the IV reset tool. Further details on the IV reset tool deployment can be found on :

    Your feedback is highly appreciated,

Where would we get the HITB reset tool?

    RE: Smart List Data

It seems to me that you have upgraded to GP 2013 from previous versions and never deployed the Inventory Reset tool (which primarily creates the Historical Inventory Trial Balance report).

I would never give a recommendation to use the historical stock status report, it simply can never be tied to GL balances. Even if you are looking for a customized report, the data provided in Historical Stock Status is not credible for this specific purpose.

Several years ago, companies with huge inventory transactions have suffered from the use of the historical stock status report. It was due to several reasons such as performance, and the inability to fulfill the need of Inventory-to-General Ledger reconciliation. Historical Inventory Trial Balance was provided as an effective and efficient alternative to get things back to track to provide the following benefits:

    - Precise cost adjustment tracking

    - accurate from data to date inventory balances (considering Opening and Ending balance)

    - Most importantly, Inventory to GL reconciliation which can be tracked on a journal entry level.

    - Later on, the Reconcile to GL utility considered the HITB to provide an Inventory to GL reconciliation report (Microsoft Dynamics GP > Tools > Routines > Financial > Reconcile to GL)

So to sum it up shortly, deploying the HITB reset tool initially would provide further reporting and reconciliation benefits.

  • RE: Smart List Data

No to the Historical Inventory Trial Balance report.

Does this report take forever to run?  We are currently running a report (Reports, Inventory, Activity) then there is a Historical Stock Status report we ask for the Class ID for each separately and then ask for a total by Site ID.  This running/printing of the information takes a few days which is not good because if a revalue is done during that time the reports are not accurate.  Which means it does not use the closing period date for the reports.

I am looking for something to export so I can build a pivot table.

    RE: Smart List Data

I would initially want to know one simple fact initially, if you go to Reports > Inventory > Activity. On the reports drop down list, do you have a report called "Historical Inventory Trial Balance" ?

In case you have this report, you can get the data you are looking for from this report. Since it is not available on a predefined out of the box HITB smartlist. When you print this report for a specific item (as an example), you will get the following:

    • First record will calculate the balance brought forward (all the inventory-related transaction until the starting date of the report)
    • Then, it will list down all the inventory-related transactions (without a cumulative balance)
    • Ending balance considering the balance brought forward and the balance of the inventory transactions listed

See the report below for example:

    Class.png

Regarding your specific requirements to get the item class as well as ending balance between two dates, consider the following steps:

    - Go to the report path provided above (Reports > Inventory > Activity > Historical Inventory Trial Balance)

    - Choose the first range (Item Class), and then click "Insert"

    - Then, choose the (Date) range to be entered for two dates

Final note, in case you are looking for an exportable to excel report, you may look through my blog for customized inventory reports which can be deployed and published to smart list designer or builder.

Never hesitate to share any further inquiries,
