Delete dbo.Attachment files

Looks like the dbo.Attachment table occupies a lot of size.

No one sends emails from MS Dynamics, but they use CRM for Outlook to Track the received and sent emails.

There is no Sales Literature or any other type of data except the ones from the CRM fields. No attachments, no pdf, docx etc.

My assumption is that the attachments are coming from the tracked emails from Outlook.

Can you please tell me if they indeed come from the emails sent from Outlook? And is it safe to delete them?

And  how can I bulk delete the files?

    Hi,

    the attachments could come from the tracked mails or from notes as well (which offer an upload capability).

    Why would you delete them? Then a part of the email which might be relevant would be missing.

    The dbo.Attachment has 4 GB. A lot of storage. And looks like we are running out of storage.

    And besides that, they are pretty much just brochures for our products (large pdf files) No one attaches stuff to notes.

    So I would like to delete those attachments. Please help me do that.

    Hi,

    I would check 1:n relationships (Settings --> customizations --> customize the System) between the entity attachment and other entities first. In my Installation I didn't find any, which would Trigger a deletion of the linked objects, like mails a.so.

    But you could also probably try deleting one attachment for a mail and check if the mail is still there and not gone.

    The deletion could be done via the bulk deletion functionality in CRM. Navigate to Settings --> Data Management --> Bulk record deletion

    Define a bulk record deletion for the entity "attachment". There you could also define the filter criteria, e.g. to only delete attachments with a certain Name, with a file size bigger than x a.s.o.

    You could then also Review the results of your query, before starting with the deletion.

    Ensure to have a backup before you do a mass deletion, before something goes wrong. Just to be on the save side.

    I have tried to manually remove an attachment. But it looks like it doesn't work.

    I click on the recycle bin and nothing happens. I have also clicked on the attachment name and click on Remove. It still doesn't delete.

    I am administrator. I have also asked the email owner to do this. It doesn't work for her neither. Is there any setting that prevents us from deleting attachments?

    As sysadmin you should have all privileges.

    Have you tried deleting this one attachment via bulk deletion? You could specify a query that just returns this attachment.

    Or via advanced search?

    I have tried but it seems like Bulk Deletion doesn't have Attachment as an option.

    And I have tried to create a custom view for emails, eg: emails that contain Attachments, but once more, Attachment is not an option.

    Seems like you need to reset the mails to status draft to be able to delete the attachments ...

    You should ensure that they don't change to pending sent then ...
