sub account question in GP 2010 migrating from QB

Hi, In QB we have main accounts defined as three digits (100) and subaccounts are 4 digits

say Operating Cash - 100

bank of america checking - 1001

      chase bank checking  -        1002

Assuming we don't choose any segments,  when I run the rapid tool, the sub-accounts are showing in RED.  From what I understand, we can use segment to define the relationship between main and sub-accounts.   So assuming I go with 1 segment "Main" or two segment :"Main" and "Division"   how can we relate sub to main?

if we go without segment, - what's the flipside

then if we go with 1 segment, "Department" how to relate main to sub.

for 2 segments, Region and Department, how will this work.  Can someone explain with an example.  Much appreciate it.

I am thinking in the example above, the sub account 1001 can be defined as

100-000

1001-100

1002-100

Am I in the right direction?

Nothing more valuable to be added for what's mentioned above by Mr. Frank except for the fact that you could define the same structure of QB as the current account structure in Dynamics GP with the ability to add more segments in the future.

Although, it is preferable and recommended to make use of the account segments to the maximum level in order to enhance the capability of your reporting. especially if you would consider using FRx. In this essence,I don't recommend considering the same structure at all, at lease breaking it down would be far more useful.

You must define account segments in GP.  This occurs during the GP installation process.  You can view the Account Format in Administration>>Setup>>Company>>Account Format to see what segments currently exist in your install.

Whether you choose to use the full functionality of segments is optional.  It might be helpful for you to read the Help files on account segments in GP.  To do so, open GP, go to Financial>>Setup>>Segment.  Open this window and click on the little blue Help button at the lower right corner of the window.  You may find that some of the Segment functionality would be of benefit in the future.

thanks for your feedback Frank.  While I see the value of the segments, is it mandatory to define at least 1 or more - or can I just go with same account structure that I have in QB into GP without any segment, meaning there will be only Main account?

Personally, the few times I have used the Rapid Application Tool, I have used it to create it temporary work tables(they begin with rmt - rapid migrration tool). You will find rmtGL00100. I will then massage that table any way I want and then use Integation Manager to bring the GL accounts into GP.

In GP, the concept of account and sub-account doesn't really apply.  All accounts in GP are distinct strings.  I.e., Account 100-4000-000 is one string, made up of 3 segments.  There is no relationship between the Account and the Sub, other than that created when selecting the segment values in a making a new account.

I've used other systems where you could setup each segment individually, then mix and match segments to create your accounts.  Such is not the case in GP.

I'm not familiar with the Rapid Implementation Tool, so can't speak to that directly but hopefully it helps you to understand that generally, when importing accounts to GP, you have to define the entire account string to be imported.

    Does this make sense?
