Hi all,

Whenever upgrading the system to latest version, users and security roles are not refreshing. So when the employee/users submit the timesheets for approval, supervisors are not getting timesheets for review because of the workflow error stating : 

Stopped (error): X++ Exception: Work item could not be created. Insufficient security permissions for user ABC.

Please review the user's security permissions to ensure they are sufficient for this workflow document and then resume the workflow.

So I checked the user have assigned to required role with menu items and Yes, all the menu items with privileges are assigned to user.

I deleted the user ABC and imported again and assigned worker and required roles (Same roles as previous) and resumed the workflow then it's working again.

So we need to avoid doing it every time we upgrade the system or any deployment.

Is there any way I can refresh all the users when upgrade happens? or is there a solution to avoid deleting the user and assign again.

Please share your thoughts and any resolution to avoid the workflow errors.

    If your Dynamics 365 environment has been customized, it's possible that the work item creation process has been modified, and the security requirements may have changed.     Problematic: Function management
    • Retrieves project details for intercompany resources into a timesheet line approval workflow.
    By enabling this function, the workflow falls into an error: the message. 2024-03-26 09:32:23 :
    Stopped (error): X++ Exception: The user 'laurie.frenette' that was assigned to the workflow is not activated.

    Report:
    1. The user is enabled, they have the necessary role to perform this task
    ​​​​​​​Resolution scenarios:
    1. For this to work, you will need to do the following:
      1. Disable the user;
      2. Delete all roles;
      3. Reactivate the user;
      4. Give it back its roles.

    3. When we enable this feature, the Workflow: Timesheet Line Approval  should be changed as follows.
    4. Otherwise, the original workflow condition no longer works. The condition is: if the project group contains the value Time, the timesheet is approved automatically, otherwise the project manager will have to approve it. The activated function no longer takes this condition into account.
    • Condition line must be changed to: Contains timesheet lines associated with project details... ProjGroupID.
    • Activate the new version.
    • All submitted timesheets will need to be recalled and resubmitted.
    Impact:
    • Removing all user roles and disabling them is unthinkable. We have 600 or so users.
    • Redoing the Workflow and recalling all the timesheets and resubmitting them is also a demanding job.

    Is there another alternative? More user-friendly before this feature became mandatory.

    I got the same error for custom user role when accept the vendor invoice task.
    According to security diagnostics for task recordings there should not be any missing permissions, but I found missing permissions when comparing the roles with and without the error.

    unfortunately we can't delete all the users and reimport them there are just too many. 

    I did find out that there is a feature which was enable by default on version 10.0.30. The feature is “Enable to fetch project details for intercompany resources in a timesheet line approval workflow”. If it stays on then only the system admin person can approve the workflow, however if disabled then the project manager user can approve. 

    If on version 10.0.30, do try this inconjuction with checking you workflow set up and ensuring nothing has dropped off.

    Just delete the user and import, assign same roles. And resume the workflow, the error will rectify.
