Is there any way we can automate some of the smartlist actions?

Hello all,

Does anyone know how to automate smartlist actions? For example, to run/refresh a specific favorite smartlist at specific time, and to export that favorite to excel (with preset export-solution) etc.

Any hint or advice is welcome. Please also feel free to guide us to where to find the information on this. We've looked at SDK documents but not success so far.

    Microsoft has placed the XML for all of the Standard SmartLists on Customer Source.  This code can be loaded into SmartList Builder.

    If you haven't found it already, you have to be on at least Service Pack 2 or greater installed.  Then if you have SmartList Builder installed you should see Excel Report builder as an additional menu option along with SLB.

    Also, you don't even have to have SLB/ERB.  Under the Reporting Tools setup you'll find a place to deploy default Data Connections and corresponding Excel reports.  Just like SLB makes custom SmartLists, ERB makes custom data connections.  You may be able to use these as well.

    I agree with you on the automated SQL task option. It's just that the users are currently more comfortable with smartlist that they can pick the closest match from the standard smartlists and then add/remove column to fit their needs. Plus the type of reports aren't too complicated, yet, for the smartlist to produce. Your suggestion on Macro might do the trick. We'll test that further. BTW, speaking of SQL, do you or anyone here know how we can see SQL of each standard GP smartlists?

    We'll take a look at 'Excel report' suggestion. And for some reason, even though we have a smartlist builder, we don't see 'Excel builder' option (we are using GP 10.0). I'll do some digging on this.

    If you're on GP 10.0, then REJOICE!  For the first time with GP 10.0, there are Excel Spreadsheets that correspond to every Smartlist.  Called "Excel Reports", they can be deployed from inside of Microsoft Dynamics GP.  However, there are certain security measures that must be setup for this to work.  Disadvantage of these is that it takes a developer to change the query behind these free "Excel Reports".  So if you have a smartlist favorite with additional columns, you cannot easily add that to an Excel report.  (you have to change the query in the Excel data connection).

    HUGE advantage of these Excel reports is they can be refreshed without using GP at all.  They can be refreshed by any user you setup with the proper permissions to the server.

     However, if you have Smartlist builder, then in GP 10.0 that comes with "ExcelBuilder" for no additional charge.  Then you can export any Smartlist Favorite to an Excel spreadsheet that can be refreshed.

    There is no automation built into SmartList for this.  However, you could create a Macro that launches your SmartList and run that from a timer on a dedicated workstation.

    It might be more solid to have a SQL person write an automated SQL task that exports the desired data from the tables directly using a Scheduled SQL task.
