Advanced find Email Messages - not available

I'm the global administrator for our O365 tenant, and another user is responsible for all things Dynamics. that other person left, and I am trying to free up some space using the guidance provided in the email alert.

A couple of the steps call for removing email attachments, but when I go to advanced find, "Email Messages" is not in the Look for drop-down. I suspect that this is just a permissions problem, but I don't know what to change.

I have added a team license, a pro license, and even modified my roles in CRM. I'm at a loss, and sure could use a nudge in the right direction. Thanks!

    Hi RPerrySMM,

Please make sure you have the System Administrator security role in CRM - this is the role that has the highest permissions.

If you still don't see the Email Messages in Advanced Find, then one thing I could think if is maybe the label of this entity was changed from "Email" to something else?

You can check this by going to :

    • Settings -> Customizations -> Customize the System -> Entities
    • Check there to see if you have an entity with following Icon (see picture below)

    crm-mail.png

    • Check if the Plural Name or Display Name were changed
    • Use those names in your Advanced Find

    Hope this helps!

If I go to Settings, Security, Users, click my name, Manage Roles, there is a checkbox for System Administrator. I should be good to go there, right?

As for it possibly being renamed to something else, I followed your suggested path and it is listed exactly as shown in your screen shot.

What I have in my Advanced Find still has nothing to do with email messages:

If you go to the user profile in dynamics, what kind of access mode do you have there for your user record? Is it administrative or read-write?

This is interesting indeed - i see that there are many other entities missing (Account, Contact, Opportunity, etc.). Most of the Entities you see here are related to Settings (Business / Service / Data / Customizations)

Change to read-write. Administrative is for administrative functions.. not for data manipulations.

I suspected that earlier, and tried to change it. I was given the message "You do not have permission to access these records. Contact your Microsoft Dynamics 365 administrator. If you contact support, please provide the technical details."

Could you confirm if your user account has been assigned a Dynamics license? As a global admin, you may have administrative access, but, unless you have a license, you won't be able to modify the data:

I don't normally have a license for myself. I have removed a license from one of my users and temporarily assigned it to myself.  Not sure how long I have to wait for everything to work its way through the system. I know Exchange changes can take some time.

I just tested this in the trial environment - it took only a couple of minutes there.. but I'm not sure if there is a difference (after all, trial is V9).
