Accidentally posted Sales Documents

Hello,

My shipping coordinator accidentally posted next weeks orders after she transferred them to invoices and we need to print out all of the picking tickets for them.  Is there any way to reverse this?  I'm still waiting for our tech support people to give us a call back but we have only a few hours to get these picking tickets ready.

Any suggestions would be greatly appreciated!

    This just happened to us again.  I located the problem.  If you look at the SOP10100 table, you will notice that all transactions that you can edit have "Sales Entry" in the BCHSOURC column.  The transactions I couldn't get to said "**Sales Entry".  I ran this update function on the SQL server and corrected the problem.  Now we can go in and edit/delete, etc. the transactions.

    UPDATE SOP10100

    SET  BCHSOURC = 'Sales Entry'

    WHERE BCHSOURC = '**Sales Entry'

    This happened to me again this week so I wanted to let others know how to fix it in case it happens to you.  The problem is that the transaction source should say "Sales Entry" in the SQL server, but somehow it got changed to **Sales Entry, which makes it so you can't pull the transaction up.  I ran the below UPDATE function on the SQL server and it corrected those orders/invoices with that wrong batch source.  Now we can pull them up and edit them.

    UPDATE SOP10100

    SET  BCHSOURC = 'Sales Entry'

    WHERE BCHSOURC = '**Sales Entry'

    Hello Jeanie,

    Thanks for the update. Ok I have seen that issue before. In the case where there was a system interruption while enteirng/saving/transferring/posting an invoice, the data is most likely stuck in the tables and may need to be deleted from within SQL as you may not be able to pull up these invoices in GP and delete/void them.

    If your Microsoft Partner needs any assistance please feel free to submit a support incident and we will look into the issue further. We have an ALL SO script that can show us all the tables the sales order and the invoice are in and their status. This usually helps as in a situation like this there will be some damaged records with an incorrect status and tells us what needs to be deleted etc.

    Thank you.  I was planning to do that, however I have noticed that the invoices are not actually posted.  When you pull up either their Posting Status or Document Status, both fields say they are Unposted.  

    The user's pc froze during the Transfer to Invoice stage so they are still sitting in some limbo phase.  If you pull up the customer's account, they are not reflected in their aging.  I haven't checked the other journals but my guess is that the revenue accounts are also empty.

    Our Great Plains support company is supposed to help us clear these out.

    Hello Jeanie,

    I hope some of the suggestions above helped you. After posting there is really no way to print the actual picking ticket for the invoice any longer. This is by design in the system.

    The supported way to correct this type of issue is to enter a SOP Auto-return to 'undo' the invoices and then re-enter them. To create an auto-return navigate to Transactions > Sales > Sales Transaction Entry > Additional menu > Create Return. A message will come up saying "The RMA Type selected is invalid for this process." Just click OK.

    This brings up the Create Return window. You will want to unmark the Create RMA check box. The Type ID should default in after unmarking the Create RMA check box as will the Customer ID. You can then select the sales invoice in the Sales Document lookup. This will bring up the Sales Invoice Return Item Selection window where you can choose the lines to return by marking the check box right before each line. Then click Post when done. This will essentially back out everything and you should be able to re-enter the invoices with the correct information on them.

    The main problem with what happened is that we still needed to edit the invoices before they were posted.  They are all missing the freight and a couple of them had substitutions that not been completed.  And, of course, we now have 2 invoices for each PO.  When I ran the Aged Trial Balance, those invoices were not showing up yet, so that's why I know that they did not completely post, either.  Something is corrupted in the database that is not allowing us to edit them.

    Our tech support person said he would go into the SQL server and unlock the document numbers for me by next Wednesday.  Once they are unlocked, I'll have to void them.

    So do you have a bigger problem then just needing to print historical picking tickets? Or did they all make it to history? You could use the copy function  but now you will be pulling stock, printing the orders and then deleteing them. Plus what about the order numbers? You cannot have duplicate order numbers.

    Hopefully the two of you can at least go out to lunch.

    The shipping coordinator admitted that her pc froze during the transfer so I think those docs are in limbo.  So, I can't really blame her for a network error.  But I do like your dinner idea! :-)

    You could go to Inquiry->Sales->Sales Documents and choose Historical. Highlight one of these invoices and then hit the Print button. Now the only option here is Invoice. You can then choose one of the other document types(Short,Long, Other) and then send that to the screen and click Modify. This will bring you into Report Writer. You can then modify this form to look like a picking ticket. Once you are done set security to use this modified form and then print all the others. After all this you have your shipping coordinator buy you dinner!

    I found a work-around to get us by for today, which was just to use the Copy feature in GP and recreate all of the invoices.  I figured we could use the same to generate a return to credit the original.

    The one thing I noticed, though, is that the Document Status for all of these says that they are all Unposted.  yet, when you try to pull one of them up, it says it is Posted.  I can pull it up using the Inquiry function, but just cannot edit.  So I think something must have become corrupted while the documents were being transferred to invoices.  

    Hopefully our tech support guys will be able to get back to me on Monday to resolve the problem.
