Distribution Reference

Posted on by 1,290

Dear All,

We do make journal entries with multiple transactions; the reference is a general description for the entry that is done (for example, OfficeExpenses), while distribution reference is the specific description of the particular account (for example, ThreePosters).

When we print the detail of an account, the GP show us the reference which is so general, but we need to see the distribution reference because it is valuable and save us time looking up for documents to know the reason for recording that particular amount on that account.

The question is, how can we print a statement (detail) other than from the smart list, that includes the distribution reference?

Thank you for your help.

Sure.  When you modify a report, the system actually creates a copy of the original and you modify the copy.  The original report is retained.  After you make your modifications, you have to set access to the modified report in Alternate/Modified Reports and Forms security on the Administrator menu.  Switching back to the original report is just a matter of setting the security setting back to the original report.

You need to modify the report to include the Distribution Reference.  If you're referring to the GL Trial Balance, you need to modify that report in Report Writer.  If you're on GP2010, you could modify the SSRS version of the GL Trial Balance to include the Distribution Reference.

    Hope this helps,
