Strange CRM questions (from 1.0 to 4.0)

1.       One of our clients that installed CRM V1.0 and has since removed V1, uninstalled and moved through all versions and is now on 4.0 is in the process of tracking some outlook contacts to CRM.  The user that is tracking his contacts has noticed that his track in CRM button in outlook is being grayed out on certain contacts.  The only correlation that we are able to make is that the grayed out contacts were at one point in time tracked in V1.  Have you ever come across this- do you know of a work around and/or suggestions? 

 

2.       When tracking contacts from Outlook to CRM – the notes field in outlook carries over to the Details tab – description open field.  When the information is deleted in CRM – it deletes it form Outlook as well.  This is taking place within our clients environment; but is not taking place within my environment – is there a setting that I am missing?

 

3.       Lastly – If a users contacts are tracked in CRM – then that user is moved from a full license to a read only license – are any updates written back to outlook under the read only status license?  Any other impacts positive or negative around this scenario that you are aware of?

    Greg,

     Some initial thoughts I have:

     1. It's possible, especially if they have any 3rd party tools installed in Outlook that may result in a different Contact class being used in Outlook.  I've seen this with Appointments in CRM, for example when LiveMeeting is installed.  When you try to track a LiveMeeting appointment in your Outlook Calendar it indicates the item type is not valid for promotion.  The typical class used is call IPT.Appointment.  With LiveMeeting the class name changes to IPT.Appointment.LiveMeeting.  That is an unrecognized type by the CRM Client.   This could be what is happening with some CRM contacts.  There is a MAPI tool you can download from CodePlex that will allow you to examine type of class used by the Contacts where this issue occurs.  That would be the first step.  Another thing that could be happening is that the information stored in the Contact in regards to the Tracking information for CRM already exists but is not in a readable format with the 4.0 client.  You may be able to clear the attributes etc.  Do any other buttons like Set Parent show up?

    2.  The Notes Tab shouldn't synchronize to the Details tab in Outlook.  The ntext description attribute on the Contact is the one that synchronizes, unless that's the field you're talking about but the display name was changed to "Notes". There isn't a setting, this is just default synchronization behavior.  After you changed the notes in CRM, did you force the client to synchronize that change?

    3. If the user is moved to a read-only status they can still see the information but cannot manipulate it.  My assumption would be that if the user changes the Contact information in Outlook, you will see an error when the changes attempt to sync to CRM.

    For  Issue #1... This free tool from Microsoft will allow you to change the contact message class from IPM.Contact.OlTrans (bad) to IPM.Contact (good). I have confirmed it works with CardScan 8.0.5 and Outlook 2010.

    1. Download the Omsgclas.exe package and run it to extract a word doc and readme txt

    2. Open the word document and enable macros (if prompted)

    3. A dialog box will pop up. For "Item type" select "Contact"

    4. For "New" type "IPM.Contact"

    5. Click Analyze Items (you should see the IPM.Contact.OlTrans listed here)

    6. Select Process Items (this will change the contacts form)

    You will need to run this macro every time you transfer contacts from CardScan to Outlook.
