Fiscal Periods Changed and Transaction Balances are now not showing

Hi All,

So this is the scenario:
- User went into Fiscal Period Setup window to create a new fiscal year.
- The user used the existing year that was displayed, for example Fiscal Year 2004 and in an attempt to create a new year, the user just changed the dates within the year to a different date range i.e. Start Date 2013 and end date 2014.
- This was continued for each subsequent year to be created. However, they were not done in sequence. Hence it looks like the below screen shot.
- I recreated the fiscal years with PSTL and also manually. After I recreate the years, some fiscal years show no balances. Right now Trial Balances return 0 transactions for Fiscal Year 2010. When i review SmartList, it shows me that there are entries for 2010. They just do not show on the Trial Balance.

Request - How to get the fiscal period changed such that the data remains in tact and balances print for all years.

    One other thought for you.

    Go back and check your fiscal calendar setup for each year and make sure that all years that are historical are flagged as historical.

    If not, set them as historical and rerun Reconcile

    Are you using the detail or summary trial balance?

    The detail trail balance should be working and returning data.  Does it?  Try another historical fiscal year.

    The summary trial balance may or may not return data.

    Rerun the Reconcile process on the GL starting with the earliest fiscal year.

    Hi Jeffrey,

    That is exactly what I did and I am missing Financial Years of data. The trial Balance shows 0 for FY2010 but when i go to smartlist, there is transactions for 2010.

    Hi Ali

    First thing is to make a good backup of your data before proceeding.

    If you have a test company you can first try this in test and validate before performing the steps in your production company.

    Note which years are already flagged as historical years and number of periods and start and end dates of each period incase they are not at the actual month end.

    You can run a report that shows this in the Company Setup reports options

    Run the following in SQL Mgt studio against the company database (test environment first)

    Delete SY40100

    Delete SY40101

    Next open up the Fiscal Period Setup Window (Microsoft Dynamics GP > tools > setup > Company > fiscal periods

    Start with the oldest fiscal year and enter that along with the fiscal year start and end dates.  If the period end dates float, you will need to put in the starting date for each period.

    Be sure to mark the year as Historical if the year was closed.

    Keep adding years by going in sequence year after year.

    Once you are finished adding all the years go to Microsoft Dynamics GP > Tools > Utilities > Financial > Reconcile

    You will need to Reconcile each year one by one starting with the oldest historical year and moving forward until you arrive at the current open year

    You should now be able to run reports and the balances in the detailed trial balance should equal the balances in the summary trial balances.

    Please note if you are running fixed assets, there are more steps involved with this.
