Data not flowing (sometimes) with relationship map

I have an interesting problem that I'm having a tough time cracking.  The environment is CRM online, latest updates.

Our process for opportunities consists of creating the opp, creating a quote, activating the quote and creating an order.  The order entity drives a number of links to external systems, so certain fields need to be populated.

I have a number of custom fields on both the quote and order with the mappings on the 1:n relationship from quote to order to drive them to flow to the order.  Most of the time it works fine.  Sometimes, though, especially with one user in particular, the field values do not flow to the order and the external processes fail.

I've checked his roles and he is exactly the same as other users that work fine, but it seems like a permissions issue since it is primarily with this one user. Has anyone seem something similar to this (maybe with different entities even) where the relationship mapping did not flow the data to the child entity?  Any ideas on what I can check?  Maybe the relationship is not created properly?

Thanks in advance.  This is causing major acid-reflux in the organization, so I'd like to get it solved.

    Hi Frank,

    The mapping sets the field values for the child record in the context of the parent record. This user might be doing something differently that is causing them to lose the context, or causing the values to be lost before the record is saved. I would do a screen share with the user and watch them try to replicate the problem, comparing their steps to a successful user. Some things to look for:

    1. Are they somehow creating the order without the quote form being open?
    2. Are they using an alternate quote or order form, where the custom fields are absent, or where a Business Rule or javascript running on the form that overwrites the mapped values?
    3. Is the user accidentally deleting or changing the values before the record is saved? Or afterwards?
    4. Are the custom fields local option sets, where the options are not synchronized between the quote and the order? (It's a better practice to use global option sets.)

    On top of what Gary said, it might be a good idea to set up a synchronous workflow that copies the fields from the parent record when Quote or Order is created.  This would be a much more reliable way to ensure that those fields get populated, no matter how they get there.
