GL Account with Zero Current Year Balance but activity in history

Is there any way that i can remove an old account that I do not use anymore?

Yes there was some activity the first time the account was created in 2010 but we haven't used it since then.

I want to remove it.

How can I do that?

    You could use the PSTL tools to merge it into another account. You would keep your historical transactions in the target account and the old account would disappear.  You could also use the Remove History Utility and restrict it to that single account. To do the account restriction, you need to click on the Ranges button and then select the appropriate values for each segment of your account number. Once the history is removed, you ought to be able to delete the account. If you choose to remove (delete) history, be sure to just check the Print checkbox and not the Remove checkbox to be sure the results will be what you expect.

    Hi Leslie,

    I thought about the remove history but that would leave me with unbalanced entries.

    I know about the combining and i don't want the history of that account being merged with another account.

    Anything else?

    If you just don't want to see or use the account, make it inactive, uncheck the 'Allow Account Entry' checkbox and unmark all of the 'Include in Lookup' selections. That will keep it from showing up in the default lookup window for Sales, Inventory, Purchasing and Payroll transactions, but it will still show in Financial. (Just unmarking the 'Include in Lookup' will cause it to not show in those subsidiary modules, you don't have to mark it inactive for that). The other thing you could do is download a free copy of SmartSort from EthoTech, create a SmartList Favorite that excludes inactive accounts and then assign that SmartList favorite as the default Lookup. This way it wouldn't even show in the Financials Lookup.

    The SmartList assignment will slow down the lookup a bit.
