Document Management, SharePoint integration Permissions

I've just set up SharePoint Integration.

I successfully set up the integration and  enabled the relevant entities.

However when I go to test it  admin I get the following message "Collaborate and share files easily with SharePoint–ask your admin to enable it for your team."

I'm sure I'm missing something in permissions but can't work out what to change.

I'm testing it as Sys Admin, M365 Global Admin and SharePoint site owner.

Can someone advise me?

Thanks

    Hi Matt

To resolve the issue - please add necessary license of SharePoint to the user in office365.

If it's a trial instance - I suggest you please add office365 E3 free trail and it will work as charm

The issue is due to necessary licenses not allocated to the users in office365

    Hi Matt,

We request that you check if you have an adequate SharePoint license and also check if you are a SharePoint site member. If you are still facing issues, kindly verify if you have the required privileges for the document location table.

We also request you to try out our solution that uses Dynamics 365 CRM and SharePoint integration that can auto-sync security privileges set in CRM to SharePoint.

SharePoint Security Sync by Inogic is a SharePoint and Dynamics 365 CRM integration solution that lets you sync/replicate the security privileges assigned to users in the CRM to SharePoint and also allows you to upload CRM documents to SharePoint.

There is much more to SharePoint Security Sync features; to try the app first hand, you can get it from our website or Microsoft AppSource, and feel free to mail us at crm@inogic.com for a personalized demo of the app.

    Thanks!

This usually means something is incomplete or misconfigured in the SharePoint integration or document management setup. Besides the license issue that was mentioned, I would check the document management setup and confirm that the relevant entities are enabled for SharePoint integration. This would be in Advanced Settings → Settings → Document Management → "Document Management Settings" and "Enable Entities for Document Management".

I would also check that you're using the right SharePoint site and have sufficient permissions by going to Settings → Document Management → SharePoint Sites → Validate URL using 'Check URL'.  I have written a whole article for the CRM Software Blog on How to Set up a Dynamics 365 Integration with SharePoint. The screenshots there might be useful.

A very important point is that this Dynamics 365 Integration with SharePoint ignores the privileges you have set on the Dynamics side, which can be dangerous. I recommend that you fix that using a third-party app, CB Dynamics 365 to SharePoint Permissions Replicator. This app replicates all Dynamics privileges automatically to SharePoint. As it is always running in the background, the permissions are always correct, even if privileges change or if you add or remove team members from groups.

    Hello Matt,

You've encountered a frustrating situation where, despite having admin privileges, you're still getting the "Collaborate and share files easily with SharePoint–ask your admin to enable it for your team" message. This typically indicates a permissions or configuration issue beyond the basic SharePoint integration setup.

    Let's troubleshoot this step-by-step:

    1. Verify SharePoint Integration Status:

    • Double-check the integration setup:

      • Go to Settings > Integration > Document Management Settings.
      • Ensure that the integration is enabled and that the entities you want to use with SharePoint are selected.
      • Verify the SharePoint site URL is correct.

    • Server-Based SharePoint Integration:

      • Make sure you're using server-based SharePoint integration, as this is the recommended and most robust method.
      • Older list component integrations are generally not recommended and can cause issues.

    •

    2. SharePoint Site Permissions:

    • Site Owner Permissions:

      • While you're a SharePoint site owner, double-check that your account has full control permissions on the specific SharePoint site being used for the integration.
      • Go to the SharePoint site and verify your permissions in the site settings.

    • Site Collection Administrator:

      • Ensure that your account is also a site collection administrator for the SharePoint site collection.

    •

    3. Dynamics 365 Security Roles:

    • Document Management Privilege:

      • Ensure that your Dynamics 365 security role has the "Document Management" privilege. This is essential for accessing and managing SharePoint documents from within Dynamics 365.
      • Go to Settings > Security > Security Roles.
      • Open your security role (e.g., System Administrator).
      • Go to the "Core Records" tab.
      • Verify that the "Document Management" privilege is set to "Organization."

    • Entity-Specific Permissions:

      • Check the entity-specific permissions related to document management. For example, for the Account entity, ensure you have read and write permissions.

    •

    4. SharePoint Site Structure:

    • Document Libraries:

      • Ensure that the necessary document libraries are created in SharePoint for the entities you've enabled.
      • Dynamics 365 typically creates these automatically, but sometimes there can be issues.
      • Verify that the document library names match the entity names.

    • Folder Structure:

      • If you've configured custom folder structures, verify that they are correctly created and accessible.

      •

    5. Browser Issues:

    • Clear Cache/Cookies:

      • Sometimes, browser cache or cookies can interfere with Dynamics 365 functionality.
      • Clear your browser's cache and cookies.

    • Different Browser:

      • Try accessing Dynamics 365 from a different browser.

      •

    6. Service Account Permissions (Server-Based Integration):

    • Service Account:

      • If you're using server-based SharePoint integration, verify that the service account used for the integration has the necessary permissions on both Dynamics 365 and SharePoint.
      • The service account should have site collection administrator privileges in SharePoint.

      •

    7. Dynamics 365 App Registration (If Applicable):

    • App Registration:

      • If you've used an app registration for the integration, ensure that the app registration has the correct permissions to access SharePoint.

      •

    Troubleshooting Steps:

    1. Verify Document Management Privilege: Start by confirming that your Dynamics 365 security role has the "Document Management" privilege.
    2. Check SharePoint Site Permissions: Double-check your permissions on the SharePoint site and site collection.
    3. Clear Browser Cache: Rule out browser-related issues.
    4. Review Service Account (If Applicable): If you're using server-based integration, verify the service account permissions.
    5. Re-run the Enable Server Based SharePoint Integration wizard. sometimes this can fix the issue.

    6.

By systematically checking these areas, you should be able to pinpoint the cause of the "ask your admin" message and resolve the issue. If the problem persists, consider contacting Microsoft Support for further assistance.

Hello, Even though you've set up SharePoint integration and have admin roles, this issue is likely due to missing security roles or incorrect document management settings in Dynamics 365.

    1. Ensure that Document Management is enabled for the entities you want to integrate.

    2. Your user has the necessary SharePoint permissions (at least Contribute access on the SharePoint site).

    3. In Dynamics 365 Security Roles, your role includes Document Management and SharePoint privileges (Check under Core Records for "Document Location" and "SharePoint Document").

    4. Clear the SharePoint URL in System Settings, save, and re-enter it to refresh the connection.

Hope above mentioned ways help to solve your problem.

    Regards,
    Mansi Soni
