Cancelled appointments don't indicate they're cancelled

Posted on by 129

If you create an appointment in D365, and cancel it in D365, the attendees receive a notification in Outlook.  But there's no indication that the meeting was cancelled.  It also does not remove it from your calendar.   When you do this from Outlook it removes it from the calendar and the notification sent to the attendee says cancelled in the subject

This is how it appears in Outlook when the appointment is cancelled from D365. There is nothing to indicate it's cancelled.

I have the same problem. The appointment still looks active in my outlook calender (without the text Cancelled), but when I open it, I can see the text Cancelled. There is still a dark blue bar on the left so it still occupies time. When opening the item itself, it shows the time as available.
On my phone, however, the same item is lighter, with the text Cancelled. There it does not seem to occupy time.

In my opinion, there is something wrong the display of the calender item in outlook. The outlook version is 2402. Maybe there are updates, but my company has not updated outlook yet ?

I opened a ticket with Microsoft, they suggested I submit an "idea" on the D365 community website, which I did. You can upvote it (link below). The more votes the more chance there is they will address it.  The work around is to train users to cancel meetings from Outlook, or just don't use them with Dynamics.  I would only use Dynamics to create appointments if you want them related to a record, and/or show up on the time line.  But I would manage the meeting from Outlook.

    Hi Iron Arm,

    Please guide.

    Thank you:

I don't think that's enough. Most won't notice that.  There's also the issue with it not being removed.   It should function the same way an Appointment cancelled from Outlook does.  It should send a notification that says "cancelled" and remove it.   Instead it sends an email notification that just shows the information about the appointment.  It tells the user nothing.   This is very bad UX.  I may open a ticket.

    Hi partner,

For appointments that have been canceled in D365, there is already a corresponding flag in Outlook's calendar.

If an appointment is cancelled, its left side is white in the calendar (look at 14th), and if it is not canceled, it is dark blue (look at 7th),.
