Re-sort Option Set

Hi- this is a pretty newbie question, so I apologize in advance.  There is a field called Lead Source in the Lead entity.  It is a basic option set.  I'd like to add a label and place it in alphabetical order among the other out-of-the-box labels (Advertisement, Employee Referral, etc).  When I add the label, it assigns a value of 717,710,000.  However, all the other ones are 1-10.  Advertisement has a value of 1, for example.  Can I edit these values to make my new label show up in the proper order, or does it have any negative design or process ramifications?

    Update: Just noticed when I change the value of an existing label it tells me "existing records and customizations might reference this option value.  Those references will not be updated if this option value is changed."  Any way around this?

    Hi JBill!

    You should be able add your Label, and/or change your value to anything that is not currently being used in the Lead Source option set., with absolutely no repercussions; I believe the first free number will be 11 by default.

    You can hold the the label in alphabetical order without having the value in the same order.

    The only place this would really impact you, if you choose to do it, is on Chart Sorting, if you are utilizing Lead Source as a sorting attribute, as it will sort by the value in the option-set, not the label.

    Otherwise, if you wanted to edit the values or labels of the original Lead Source field, you could change them with no real out-of-box repercussions that I am aware of. You could edit the labels, or the values in the original option-set.

    The warning you are seeing is simply telling you that if you are referencing this option-set elsewhere (Workflow, plug-in code, javascript, charts that sort by this field), and any updates to the value may impact these pieces.

    For example, someone may have a JavaScript that performs on the Lead Source field, and detects the value of the field, and takes some action based on the value. If you decided to change the value of "Advertisement" from it's default of 1, to a value of 100, it would NOT get updated in the JavaScript, and the JavaScript would break.

    If you have not made any such customization that references this field, you should be safe to re-purpose the values/labels as you see fit!

    Thanks for the response.  I've added a new label titled Test and given it a value of 11, which is next in line.  I've moved the label up into the appropriate spot alphabetically between Seminar and Trade Show, but it still appears at the end when I look at it on the form:

    Did you publish your configuration after making it? If you're making your

    edits in Customize the System, you can press "Publish All" to ensure it will take.

    If you're making your edit on the Form Editor itself, you can save and then Publish from the editor itself.

    Definitely published it.  The Test label would not have displayed if I hadn't?

    Right, I wasn't sure in what order you'd done things though, so it was the first thing I asked! It is possible that you'd created the label, saved > published, then gone back and moved the label order without publishing.

    If you have yet to try to Publish All, please try to do that. What browser are you editing in? I can verify the functionality is possible:

    See here where I have done two things: Created a label of Testing with a value that is out of order. And, I've moved the Advertisement out-of-order, while keeping the value at the default of 1.

    If you are certain you published, I'd still ask that you go to customize the system, open up the field (not on the form), verify the order is how you expect it, press publish all.

    Then, navigate back to your Lead record, and see if the change is there. Ideally, you should perform these configurations in IE (maybe you are, just throwing it out there!).

    I've retested and performed a publish all and the label still shows to the very bottom of the option set in the form while showing as moved in between two other labels in the Form Editor.  It's interesting to see that your Testing label was given a value of 100,000,000.  I assume that number is not used in order to rank labels in the option set (otherwise it should be at the bottom of yours as well)?

    Certainly is odd! You are correct, the number "Value" of the option-set has no bearing on placement in the drop-down itself. That is controlled (or should be) by the order you choose in the field-editor, as you have done.

    The only other thing I will ask/suggest is trying to make the edit outside of the form itself. Make sure you're in Internet Explorer (sometimes Chrome has given me issues with Publishing my changes appropriately), then go to Settings > Customization (or Solutions) > Customize the System (or open a solution that holds Lead entity in it) > Lead > Fields > Lead Source.

    Then, make the edit directly in there, save, and publish all. Maybe you've done that, but I saw you mention "Form Editor" specifically.

    This has been broken since CRM 2015 Spring update, and remains broken in 2016. The sort order of an option set that you configure is completely ignored by the display on the form. The form list items in the order of the underlying values, every time.
