Appointments & Facilities - CRM 2013 & Outlook Connection

Hi,

Our setup:  Dynamics CRM 2103 and various modern Outlook version - mostly 2013 I think.  With the Outlook client tool installed.

We have a set of junior developers working on CRM customisations/configurations.

Previously I think we've had some entities created when out-of-the-box entities would have worked.

I have a new requirement regarding the addition of an externally hosted meeting room to an appointment (of a certain type).  I want to maintain a set of these meeting rooms within CRM and then when a user creates an Appointment (in Outlook or within CRM) of this type - they can select one of these rooms.

What I have discovered:  The Facilities/Equipment entity appears to be something I can use.  I have even been able to create a test Facility - and then in Outlook - create an Appointment and find the Facility record and add as a Room to the appointment.

But I have found the following issues:

1.  The Facility does not appear in the list of rooms (currently only the set registered on MS Exchange) and I have to navigate to the Facility address book for the linked CRM company.

2.  After I have found the Facility once - outlook appears to be able to find it again when I just type it in - but I then have to flip an icon to state that it is a room.  This also is not user friendly.

3.  When the Facility is selected in the Appointment Scheduling Assistant screen - it doesn't appear to access a calendar for the Facility (it stays as a grey row).  however for a linked CRM contact record it is showing a calendar with previous appointments represented.

4.  When I go to 'Send' the appointment I receive an error 'The Operation failed.  the messaging interfaces have returned an unknown error.  If the problem persists, restart Outlook.  Cannot resolve recipient.'

I've noticed that when the Facility is recognised as a room on the appointment then the Location Field is auto-populated - which is a cool feature.

Also - is there a way to look at Facility Calendars within CRM?

Please tell me I am o the right track - and how I can resolve these issues.

    I came searching this forum to find similar information (basically how to sync up our current usage of rooms in Outlook appointments with a future implementation of CRM that uses facilities).  I'm shocked to find so little about it!  Hopefully you get some answers here and I might find them useful as well.  Very curious to hear what other people's approaches to rooms/facilities are, given how little I was able to find about the combination.
